Working closely with the Accounts team, you will provide essential administrative and coordination support across a portfolio of client accounts and projects. You will work closely with Account Managers and Directors and colleagues across the business, helping to keep projects organized, information accurate and communication flowing between clients and internal teams.
Previous experience within an entertainment or creative agency is not essential. We are interested in someone with strong administrative and organizational experience, ideally within a client-facing, project-based or fast-paced business environment.

Review and maintain scopes of work, deliverables and project documentation.
Ensure client and project records are accurate and up to date.
Maintain the internal resourcing dashboard, ensuring project allocations and team capacity are accurately recorded.
Coordinate with Accounts and internal teams to track project timelines, workloads and deliverables.
Support the review and tracking of project scopes, budgets, cost estimates and spend.
Coordinate meetings, track actions and support communication across departments.
Identify opportunities to improve administrative processes and proactively flag missing information or potential issues.
Coordinate Think Jam-sponsored events, industry awards entries, and networking opportunities
What We're Looking For
Previous experience in an administrative, account coordination, project coordination or client services role.
Excellent organizational skills and exceptional attention to detail.
Strong written and verbal communication skills, with confidence communicating with both clients and internal stakeholders.
Comfortable managing multiple tasks and priorities in a fast-paced environment.
Strong working knowledge of Microsoft Office or Google Workspace, particularly Excel or Google Sheets.
Experience with Airtable is a plus.
Familiarity with and enthusiasm for AI tools, particularly Claude, is a plus.
Confident using internal systems, databases and project management tools, with the ability to learn new platforms quickly.
A proactive and solutions-focused approach, with the confidence to follow up on outstanding information and flag potential issues.
A team player who enjoys supporting others and contributing to the smooth running of a busy department.
Entertainment industry experience is not required. We are more interested in finding someone with the right organizational skills, attitude and ability to work collaboratively across a busy, multi-project environment.
