ABOUT THIS ROLE
To support the ongoing work of bringing high-quality live experiences to our community, we are looking for an organized, detail-oriented, and well-connected Special Events Coordinator to join the team. In this role, you will manage the logistics and execution of Audible's special events — a key pillar of the strategic vision set by the Head of Audible Content, NA and the Head of Creative Development, NA. You will work in close partnership with both leaders, providing hands-on operational and administrative support to ensure their priorities are advanced day-to-day

As a Special Events Coordinator, you will…
- Schedule and coordinate all aspects of Audible's special events, including venue holds and day-of run-of-show
- Manage approvals of event assets — creative materials, signage, printed and digital collateral ensuring brand and stakeholder sign-off ahead of deadlines
- Oversee on-site execution, serving as the primary point of contact during events to ensure seamless delivery
- Liaise with venues, vendors, and production teams to secure dates and confirm technical and logistical requirements
- Build and maintain the events calendar, keeping all internal stakeholders aligned on timing, milestones, and dependencies
- Coordinate across internal teams — marketing, communications, creative, and leadership — to ensure each event is fully supported
- Support the day-to-day operations of the Head of Audible Content, NA and the Head of Creative Development, NA — managing calendars, coordinating meetings, preparing materials, and handling travel and expense logistics
- Serve as a key organizational partner to both leaders, anticipating needs, tracking action items, and ensuring follow-through on strategic initiatives tied to Audible's live and creative programming
- Attend events, rehearsals, and site visits as needed to ensure quality and readiness
- Participate in staff meetings and contribute to broader team planning around Audible's live programming slate

Basic Qualifications
- Experience managing multiple complex calendars, planning and organizing events of all sizes, and coordinating domestic and international travel, or experience with end-to-end project management
- 2+ years of experience in live events production, special events coordination, or a related field, ideally within media, entertainment, or a content-driven organization
- Proficiency with Google Workspace, Microsoft Office, and project management platforms (such as Asana)
- Experience working across creative and corporate events
- Experience supporting senior-level executives in fast paced environment
- Availability to attend events, rehearsals, and site visits during evenings and weekends as needed

Preferred Qualifications
- Effective communication skills — you're comfortable interfacing with senior leaders, external vendors, creative partners, and cross-functional teams with equal ease
- A proactive, solutions-oriented mindset you see what needs to happen before being asked and take ownership of follow-through
