Job description

PURPOSE:
The Residential Lease Portfolio Manager leads The Jewish Board’s real estate operations for the adult housing scattered-site apartment programs, overseeing leases, landlord partnerships, property issues, and unit maintenance so that every apartment is well managed, compliant, and ready to support the residents and programs that depend on it.

POSITION OVERVIEW:
This role is ideal for an organized, solutions-oriented professional who wants to do more than maintain the status quo. The Residential Lease Portfolio Manager serves as The Jewish Board’s primary point of contact with landlords, negotiating new and existing leases and cultivating strong, collaborative partnerships. The Manager works closely with program staff and leadership and supervises the Real Estate Coordinator, who is responsible for maintaining the Real Estate–Landlord SYSAID ticket function and also supports the adult housing programs. The Manager provides oversight of that function, ensuring tickets and corrective actions are tracked and resolved.

We are seeking someone eager to build on the current foundation of this role: a curious, motivated learner who will bring fresh ideas, strengthen systems and processes, and help shape how the real estate function grows and evolves.

KEY ESSENTIAL FUNCTIONS:

Lease Negotiation: Negotiates new apartment leases, lease extensions, renewals, and terminations, securing terms that protect The Jewish Board and meet program needs.
Lease Review: Reviews and evaluates all lease changes and clarifies tenant and landlord responsibilities.
Rent and Payment Oversight: Monitors lease and rent payments throughout the lease term and resolves discrepancies promptly.
Lease Expiration Planning: Tracks lease expirations and plans renewals or relocations well ahead of deadlines.
Landlord and Broker Relations: Builds and maintains positive, productive relationships with landlords, brokers, and realtors.
Unit Sourcing: Coordinates the identification and securing of suitable replacement apartments as needed, working with landlords, brokers, and program staff.
SYSAID Ticket Oversight: Oversees the Real Estate–Landlord SYSAID ticket function maintained by the Real Estate Coordinator, monitoring progress and ensuring tickets and corrective actions are resolved in a timely and compliant manner.
Recordkeeping: Maintains accurate, well-organized, audit-ready lease files.
Supervision: Supervises, coaches, and supports the Real Estate Coordinator, who is responsible for maintaining the Real Estate–Landlord SYSAID ticket function, as well as other staff as assigned.
Program Partnership: Participates in regularly scheduled meetings with program staff and works collaboratively with programs and the Facilities Department as part of an integrated service delivery team.
Compliance: Ensures adherence to The Jewish Board and regulatory agency policies, procedures, and regulations.
Process Improvement and Innovation: Identifies opportunities to streamline workflows, improve tracking and reporting, and introduce new ideas that strengthen the real estate function.
Special Projects: Leads special projects as assigned.
Performs other duties as assigned.

CORE COMPETENCIES for the position include:

Lease Administration
Negotiation and Renewal Management
Landlord and Vendor Relations
Repairs and Maintenance Coordination

THE IDEAL CANDIDATE:

Is highly organized and able to juggle multiple priorities without losing sight of the details.
Is curious and eager to learn about housing programs, regulatory requirements, and best practices in real estate and property management.
Takes initiative, shares ideas openly, and looks for better ways to get the work done.
Is excited to grow with the role and help expand its scope and impact.
Is committed to The Jewish Board’s mission and to providing safe, stable housing for the people we serve.

EDUCATION/TRAINING REQUIRED:
Bachelor’s degree preferred.

EXPERIENCE REQUIRED/LANGUAGE PREFERENCE:
3–5 years of experience in real estate, property management, lease administration, or a related field, including demonstrated experience managing landlord relations, property issues, lease renewals, and day-to-day real estate operations.
