AI Automation & CRM Implementation Specialist

We’re a commercial real estate brokerage team looking for a technically capable, hands-on professional to help modernize how we work through AI, automation, and better CRM integration.

We already use Claude daily and have built scripts that our team runs internally. With new AI tools emerging rapidly, our biggest constraint is the time and expertise required to evaluate them, implement the right solutions, and turn them into reliable daily workflows.

We’re looking for someone who can close that gap: understand our business, identify practical opportunities, build and integrate solutions, and help our team adopt better ways of working.

Prior coding and CRM experience are required. Hands-on Microsoft Exchange experience is a must.

What You’ll Do

Assess and improve our workflows. Map how our team handles contacts, email, research, deal information, follow-ups, and reporting. Identify where automation can save meaningful time and improve accuracy.

Evaluate and implement AI tools. Stay current with emerging capabilities, test promising solutions, and recommend tools based on business value, reliability, cost, and ease of adoption.

Build practical automations. Create and maintain scripts, API integrations, and workflows that connect our CRM, email, documents, and other business systems.

Work with Microsoft Exchange and Outlook. Implement reliable email and calendar integrations with appropriate permissions, security, and administrative controls.

Improve CRM operations. Streamline contact management, data enrichment, activity capture, pipeline tracking, and follow-up processes.

Build on what we already have. Review and improve our existing Claude workflows and internal scripts, making them easier to use and maintain.

Create repeatable working practices. Document workflows, establish clear procedures, and train our team so improvements become part of everyday operations.

Measure results. Track time saved, manual work eliminated, data quality improvements, and team adoption.

Compensation & Engagement

This is an hourly engagement with substantial performance-based bonus potential tied to agreed milestones and measurable business impact.

We’re interested in building an ongoing relationship with someone who can become a trusted technical resource as our business and technology needs evolve.

What We’re Looking For

Prior coding experience, with the ability to write, troubleshoot, and maintain scripts and work with APIs. Python, JavaScript, or similar experience is relevant.

Hands-on CRM implementation or integration experience, including workflows, data structure, data quality, and reporting.

Strong Microsoft Exchange experience — required, including practical knowledge of Outlook integration, authentication, permissions, and troubleshooting. Experience with Microsoft 365, Exchange Online, and Microsoft Graph is especially valuable.

Advanced proficiency with AI tools, including Claude, and a demonstrated ability to incorporate AI into real business processes.

Experience with automation platforms such as n8n, Make, Zapier, or Power Automate, together with the judgment to know when custom code is appropriate.

Strong judgment around confidential business information, access controls, and AI-generated output.

The ability to work independently, prioritize high-value improvements, and explain technical concepts clearly to a nontechnical team.

A practical approach: you can take a solution from initial idea through implementation, testing, documentation, and ongoing use.

Helpful Background

Experience supporting commercial real estate, brokerage, financial services, or other relationship-driven businesses.

Familiarity with email-heavy sales workflows, contact enrichment, document extraction, and deal pipeline management.

Experience improving existing systems while keeping day-to-day business running smoothly.
