Job description

The Opportunity
Based in New York, this Executive Assistant role provides day-to-day executive, business and administrative support to the Global Head of Institutional Client Group (ICG) and as required other members of the wider ICG team. The role sits in a global environment, coordinating across regions and time zones where priorities can shift quickly. You’ll help create clarity from complexity - keeping schedules, communications, meetings and logistics running smoothly. Accuracy, confidentiality and sound judgement matter every day given the senior stakeholders and sensitive information involved. Success looks like well-run global engagement, timely and high-quality materials, and a reliable operating rhythm that helps the leadership team focus on outcomes.

What you'll be doing
Own the Global Head of ICG’s complex calendar, prioritizing commitments across time zones and resolving conflicts with minimal supervision
Coordinate global meetings, leadership engagements, travel and logistics including agendas, materials, attendee information and follow-up actions
Provide support outside standard New York working hours when required by the global nature of the role in line with applicable overtime policies
Manage administrative support requests from the wider ICG team while protecting the priorities of the Global Head
Prepare and review presentations, reports, correspondence and briefing materials with a high level of accuracy and attention to detail
Manage stakeholder communications as a key point of contact, screening and prioritizing inbound requests appropriately
Submit travel and expense reports accurately and promptly in accordance with applicable policies
Coordinate onboarding, technology access, systems support and broader administrative requirements for the supported team
Maintain electronic filing, records management and information-handling practices aligned to audit, compliance and information-risk requirements
Improve administrative processes to strengthen coordination and team effectiveness

What we're looking for
Demonstrate experience supporting senior executives with global or cross-regional responsibilities
Bring advanced proficiency in Outlook, Word, Excel and PowerPoint
Apply strong judgement to make sound decisions with minimal supervision
Communicate clearly in written and spoken English, producing accurate materials at pace
Partner effectively with colleagues and stakeholders across cultures, organizational levels and geographic locations
Handle sensitive information with a consistently high degree of confidentiality, tact and professionalism
Manage competing priorities and a substantial workload without compromising quality or responsiveness
Work flexibly to accommodate global time-zone requirements when business needs require
This is a hybrid role with an expectation of being in office 3 times a week, with potential for more depending on demand from Global Head
