Job description

POSITION SUMMARY

The Logistics Manager owns transportation and the movement of product into, between, and out of company locations. That covers routing, deliveries, freight, carrier relationships, fleet utilization, inter-location inventory transfers, supply chain coordination, installation scheduling, and work order reconciliation. The role is measured on three things: delivering every load correctly, keeping stock where demand is, and getting the most out of every truck and every route. This function works alongside warehouse floor operations but is separate from it.

CORE RESPONSIBILITIES

Team Leadership
• Direct the Warehouse & Logistics Administrator on logistics work under a shared reporting arrangement.
• Set daily priorities for logistics support and hold the Administrator accountable to them.
• Train the Administrator on purchase order status management and ongoing logistics processes.

Fleet Utilization and Cost
• Maximize productive use of the fleet: stops per truck, capacity used per run, and miles driven against deliveries completed.
• Reduce empty and partial runs by consolidating deliveries wherever the schedule allows.
• Track and manage cost per delivery, including fuel, tolls, and overtime.
• Coordinate vehicle maintenance scheduling so trucks are available when routes require them.
• Recommend fleet size and configuration changes based on demonstrated utilization data.

Routing and Delivery
• Build and optimize delivery routes.
• Serve as system owner for Route4Me, including configuration and daily operation.
• Track vehicle location and delivery status throughout the day.
• Schedule delivery and installation appointments and confirm them with customers in advance.

Freight and Carrier Management
• Manage inbound and outbound freight scheduling.
• Own carrier relationships: negotiate rates within approved parameters, monitor service performance, and hold carriers to committed transit times.
• Maintain the approved carrier list and send each shipment with the right carrier for its lane, mode, and service level.
• Resolve freight exceptions, damages, and shortages with carriers and vendors, including claims through to settlement.
• Audit freight invoices against quoted rates and dispute discrepancies.

Inter-Location Movement and Supply Chain Coordination
• Plan and execute inventory transfers between company locations, including stock rebalancing to meet demand where it sits.
• Maintain visibility of inventory in transit and confirm receipt at the destination so inventory stays accurate across every location.
• Own the transfer record and reconcile it against system inventory.
• Track purchase order status from issuance through receipt and keep Sales informed of committed dates.
• Coordinate with vendors and manufacturers on lead times, production schedules, and delivery windows.
• Manage direct ship and drop ship orders that bypass the warehouse, including confirmation of delivery to the customer.
• Escalate any supply disruption that puts a committed customer delivery date at risk.

Work Order Reconciliation
• Reconcile each work order against what was delivered and installed.
• Identify and document the cause of returns and reroutes.
• Deliver a weekly exception report covering returns, reroutes, and failed deliveries.

Analysis and Reporting
• Compile historical return and reroute data to establish measurable performance baselines.
• Deliver a logistics assessment covering current strengths, operational challenges, and recommendations.
• Maintain ongoing logistics performance reporting once baselines are set, including fleet utilization and cost per delivery.

SCOPE OF AUTHORITY

Owns:
• Route construction, delivery scheduling, and load consolidation
• Fleet assignment and utilization
• Carrier selection and routing within approved rates
• Inter-location transfer planning and execution
• Drop ship coordination
• Freight claims and work order reconciliation
• Routing system configuration

Recommends for approval:
• New carrier contracts and negotiated rate changes
• Logistics software spend
• Fleet additions or changes
• Stocking strategy across locations

COORDINATION WITH WAREHOUSE OPERATIONS

Logistics and Warehouse Operations are separate functions with a defined handoff point:
• Warehouse Operations owns product handling through receiving, storage, picking, packing, shipping documentation, and loading.
• Logistics owns the delivery from load confirmation through customer signoff.
• The Warehouse & Logistics Administrator supports both functions under a shared reporting arrangement.

WHAT SUCCESS LOOKS LIKE

Deliveries arrive when promised, and the customer knows the window in advance. Trucks run full and routes make sense. Freight claims get paid. Stock sits where the demand is, and transfers between locations don't leave inventory unaccounted for. When a vendor slips, leadership hears about it before the customer does.

HOW SUCCESS IS MEASURED

• Historical return and reroute data compiled and documented
• Logistics assessment delivered within the first 90 days
• On-time delivery baselined, then improved quarter over quarter
• Stops per truck and capacity used per run tracked and improved
• Cost per delivery baselined, then managed against target
• Return rate baselined, then reduced against an agreed target
• Work order reconciliation completed within 3 business days of delivery
• Stock in transit tracked, with receipt confirmed at the destination
• Freight invoices audited against quoted rates, with discrepancies disputed
• Routing system configured and in daily operational use

REQUIRED QUALIFICATIONS

• Three or more years managing delivery routing, freight, or field service scheduling.
• Hands-on experience configuring and operating routing software.
• Demonstrated ability to compile, analyze, and act on operational data.
• Experience managing carrier and vendor relationships, including rate negotiation and freight claims.
• Experience coordinating inventory movement across multiple locations.

PREFERRED QUALIFICATIONS

• Experience delivering and installing furniture, fixtures, or other large-format products.
• New York City delivery experience, including building access, freight elevators, and permitting.
• Experience with Route4Me or a comparable platform.

TOOLS AND SYSTEMS

• Route4Me (routing and dispatch)
• Khameleon ERP (orders and purchase orders)
• Asana (task management)
• Granola (meeting documentation)
