Job description
About the Role
We’re looking for someone to own Ultra’s physical workplace, from facilities and everyday office operations to the buildout and move into our new office. You’ll report to our Chief Business Officer, and make sure the team has a reliable, welcoming and well-organized place to work as our needs change.
Your first major project will be our January/February office move. You’ll coordinate the design and buildout, manage vendors and dependencies, and make sure the space is ready for the team. Alongside that project, you’ll keep day-to-day office needs running smoothly and build simple systems that prevent recurring problems.
As Ultra grows, you’ll plan ahead for changing space needs, support our lab and factory teams on shared facilities, and help establish future offices when expansion plans are approved.
Location: This is a on-site role based in New York City.
What You’ll Own
Office buildout and move: Translate team needs into a practical space plan, coordinate designers and contractors, track schedules and spend, surface decisions early, and follow through on move-in readiness.
Facilities: Manage maintenance, cleaning, workplace vendors and the building relationship. Keep spaces organized and adapt layouts as needs change.
Workplace IT: Handle first-line troubleshooting and coordinate with vendors and internal experts on connectivity, equipment and meeting-room issues.
Office experience: Keep the kitchen stocked, coordinate visitors, and organize workplace activities that make the office enjoyable.
Operating routines: Make requests, purchasing, replenishment, maintenance and vendor follow-through dependable.
Shared spaces: Partner with lab and factory teams on facilities, organization and vendor needs, working with the owners of specialized equipment and operations.
Future offices: Plan workplace capacity and help establish workspace, suppliers and local services as Ultra expands.
What You Bring
Experience personally delivering an office move, buildout or comparable physical-space project.
The ability to manage projects and everyday office operations together, prioritize urgent problems and finish work without repeated reminders.
Practical troubleshooting judgment: handle straightforward issues, recognize when specialist help is needed, and own resolution.
Strong vendor and budget discipline, including comparing quotes, tracking commitments and raising changes early.
A service-minded approach to employees and visitors, with attention to hospitality, cleanliness, organization and clear communication.
Helpful Expirience
Supporting a growing startup or an office alongside hardware, lab or manufacturing work.
Coordinating office design, furniture procurement, workplace connectivity and access systems.
Building lightweight systems that reduce repetitive administrative work.
