Job description

Reporting to the HR Manager, the People Team Administrator will support the day-to-day administration of our Human Resources function across our US agencies. This role requires a highly organized, detail-oriented individual who excels at maintaining systems and streamlining processes across multiple entities. By managing general HR administration, compensation and benefits tracking, L&D coordination, and cross-agency documentation, you will ensure a premium and unified employee experience while allowing the broader HR team to focus on long-term strategy.

Key Responsibilities
Onboarding, Offboarding & General HR Administration
Drive the initial employee lifecycle processes, ensuring a consistent onboarding experience across our distinct US agencies.
Manage the distribution, collection, and auditing of all new hire documentation, offer letters, and policy acknowledgments.
Coordinate onboarding logistics, including system setups and mandatory compliance training enrollment.
Administer the end-to-end offboarding process, organizing exit feedback and ensuring all compliance steps are uniformly met for departing employees.
Maintain accurate, organized, and up-to-date employee records in the HRIS, designing systems to ensure data consistency across all agency entities.

Compensation, Benefits & Leave Administration

Support routine benefits administration, including enrollments, life-event changes, and basic employee inquiries.
Assist with compensation administration, ensuring accurate data entry, tracking, and organization during review cycles.
Manage the administrative workflow and tracking for Leaves of Absence (LOA) and employee accommodation requests.
Ensure accurate record-keeping and cross-agency alignment for all benefits, compensation, and leave documentation.

Performance Reviews & Learning & Development

Support the administrative rollout, communications, tracking, and backend organization for mid-year and annual performance reviews.
Assist with Learning & Development (L&D) administration, including coordinating training logistics, tracking participation, and organizing resources.
Own the tracking of new hire milestones, prompt managers to conduct required check-ins, and schedule our "90-Day Check-In" meetings.
Compile feedback from 90-day check-ins and translate it into actionable metrics and summaries for the HR team.

Compliance

Audit and complete all I-9 verifications, proactively tracking work authorization expiration dates for timely reverification.
Assist with general HR compliance documentation and ad-hoc operational projects as needed.

Skills, Knowledge and Expertise

1+ years of experience in HR administration, with hands-on involvement or direct support of processes such as Leaves of Absence (LOA), benefits administration, and performance review communications.
Exceptional organizational and time-management skills, with a proven ability to maintain systems that track moving parts across multiple business groups.
A highly detail-oriented approach to general HR processes, ensuring accuracy and consistency throughout the entire employee lifecycle.
The ability to handle sensitive and confidential information with absolute discretion.
