Job description

Position summary

The SNF Department Coordinator runs day-to-day SNF staffing and protects the profitability of every SNF account. This person makes sure facilities get qualified staff on every shift, handles call-outs and problems as they happen, and keeps billing rates, pay rates and margins accurate and healthy.

The role combines two jobs: an operator who keeps coverage under control, and a business manager who makes sure that coverage makes money.

What the job entails

Daily staffing operations

  • • Manage all SNF staffing requests, open orders and schedule changes.
  • • Match qualified staff to open shifts and confirm every assignment.
  • • Confirm scheduled staff ahead of each shift and spot coverage risks early.
  • • Respond to call-outs immediately and secure replacement coverage as fast as possible.
  • • Keep employee availability, attendance and contact information current.
  • • Verify required credentials and documents before anyone is placed.

Facility and employee relationships

  • • Serve as the main contact for facility staffing coordinators, nursing leadership and administrators.
  • • Handle facility complaints and service issues professionally and quickly.
  • • Manage employee issues: attendance, no-shows, conduct and difficult conversations.
  • • Escalate serious client, staffing or compliance problems to management.

Rates and profitability

  • • Own a master rate sheet for every SNF account: billing rates and provider pay rates by discipline, shift and differential.
  • • Calculate gross profit dollars and gross margin percentage by facility, discipline and staffing category.
  • • Identify low-margin or unprofitable accounts, shifts and rate combinations.
  • • Recommend fixes to management: client rate increases, pay rate management, overtime control, staffing mix and reducing avoidable premium pay.
  • • Review every rate change before it goes live and confirm it is entered correctly in all systems.
  • • Prepare a regular profitability report showing margin trends, exceptions and improvement opportunities.

Timekeeping, payroll and billing support

  • • Resolve timekeeping discrepancies with employees and facilities.
  • • Work with payroll and billing to correct errors before they reach paychecks or invoices.
  • • Goes through contracts and creates a sheet of all partner/facility billing dates.

Documentation

  • • Record every schedule change, facility communication and open issue.
  • • Keep a clear handoff log so nothing is lost between shifts or days.

Qualifications

Required

  • • 2+ years in healthcare staffing coordination, scheduling or a similar fast-paced operations role.
  • • Strong Excel skills: comfortable building and reading rate sheets and calculating margins.
  • • Experience with scheduling or staffing software.
  • • Excellent phone and client-service skills.
  • • Ability to handle on-call coverage as scheduled.
  • • Strong sales and business development skills
  • • Exceptional organizational skills

Preferred

  • • SNF or long-term care staffing experience.
  • • Experience with bill rates, pay rates and gross margin in a staffing agency.
  • • Familiarity with credentialing requirements for nursing and therapy disciplines.
