Part-Time Executive Assistant to the Rabbis

Congregation Ahavath Torah, a large, vibrant, and growing Modern Orthodox synagogue in Bergen County, New Jersey, is seeking a highly organized, proactive, and professional Executive Assistant to the Rabbis.

This part-time position is approximately 25 hours per week (5 hours per day, Monday through Friday), with a preference for morning hours. The Executive Assistant will provide direct administrative support to the Rabbi, helping manage his daily schedule, communications, and ongoing projects while ensuring the smooth operation of his office.

Primary Responsibilities

·        Manage the Rabbi’s calendar, including scheduling appointments, meetings, and synagogue commitments.

·        Serve as the first point of contact for phone calls and messages directed to the Rabbi.

·        Assist in managing a high volume of emails, text messages, and WhatsApp communications.

·        Coordinate meeting logistics, including scheduling, follow-up, and preparation of materials as needed.

·        Assist with administrative support for ongoing projects, programs, and special initiatives.

·        Help prioritize daily tasks and ensure timely follow-up on outstanding items.

·        Maintain organized files, records, and correspondence.

·        Communicate professionally with synagogue members, community leaders, vendors, and staff.

·        Handle confidential and sensitive information with the utmost discretion.

·        Provide general administrative support to help maximize the Rabbi’s efficiency and effectiveness.

Qualifications

·        Exceptional organizational and time management skills.

·        Strong written and verbal communication skills.

·        Ability to prioritize multiple responsibilities and adapt in a fast-paced environment.

·        Professional demeanor with excellent interpersonal and customer service skills.

·        High level of discretion and ability to maintain confidentiality.

·        Proficiency with Microsoft Office, Google Workspace, email, calendars, and messaging platforms, including WhatsApp.

·        Previous experience as an executive assistant, administrative assistant, or in a similar support role is preferred.

·        Familiarity with Orthodox Jewish customs and synagogue life is a plus.
