Key Responsibilities
Front Desk and Communications
Serve as the first point of contact for the synagogue: answer calls and emails to the main office, welcome walk-in visitors, and direct inquiries to the right staff member
Prepare and distribute mailings and general correspondence as needed, in collaboration with the Communications and Development Manager
Office Operations
Order and track office supplies, and coordinate equipment maintenance and repairs with vendors
Help maintain the institutional calendar and coordinate the scheduling of rooms and resources, in collaboration with the Security and Operations Manager, to ensure facility use is smooth and professional
Technology, Data, and Digital Media
Support and manage ShulCloud, the synagogue’s membership and finance database, keeping records accurate, clean, and up to date and helping staff use the system
Serve as first-line IT support for staff and work with outside IT vendors to resolve issues as needed
Edit, upload, and maintain the Boxcast and Vimeo libraries of livestreamed services and sermons, preserving them for posterity
Make updates to the synagogue website
Meetings and Events
Provide administrative and logistical support for Board and committee meetings, membership events, and services, including setup, materials, technology, and on-site problem-solving
Take on special projects as assigned by the Executive Director
What You Bring
At least two years of experience in office administration, event management, customer service, or a related role; nonprofit experience is a plus
Excellent interpersonal skills and a warm, professional approach to members, colleagues, and the public
Proficiency with Microsoft Office, Adobe, Boxcast, Vimeo, and similar platforms, and familiarity with ShulCloud or similar membership or data systems, or a proven ability to learn new technology quickly
Strong organizational and problem-solving skills, with sound judgment in prioritizing work under minimal supervision
A calm, collaborative presence under pressure and the utmost discretion with confidential information
Eagerness to learn; knowledge of synagogue life and Jewish ritual practice is a plus but not necessary
