Job description
Summary: Under the direction of the Director of Housing Choice Voucher Program, the Administrative Assistant provides confidential, program support and assistance in the performance of operational and supervisory duties related to the efficient operation of the Section 8/CVP Program.
All activities must support the Jersey City Housing Authority (JCHA) mission, strategic goals and ONE-JCHA values.
Essential Duties and Responsibilities: The below statements are intended to describe the general nature and scope of work being performed by this position. This is not a complete listing of all responsibilities, duties and/or skills required. Other duties may be assigned.
· Process stop payments for landlords no longer participating in the Choice Voucher Program.
· Process mileage reimbursement requests for inspectors by calculating and reconciling mileage reimbursement forms against job assignments.
· Addresses office equipment and work facility maintenance/repair needs as they arise.
· Replenishes office supplies as needed by submitting a request through Elite.
· Collect, analyze and process inspections activity for services rendered to the United Way, Hoboken and Bayonne; Submit request for payment and process reimbursement into Elite’s system.
· Process Repayment agreements as submitted by the Housing Assistance Technicians.
· Process receivables from employee assigned to the front receptionist area.
· Communicate rent increases.
· Coordinates Landlord, Resident Advisory, staff and in-house training seminars.
· Supervises clerical staff through the job assignment and employee evaluation process.
· Engages in effective records management to ensure easy document retrieval.
· Other duties as assigned
Desired Qualifications:
A Bachelor’s degree from an accredited college or university in public Administration, social science or a related field supplemented with two years or progressively responsible experiences or a combination of training and experienced is required. Knowledge of section
