Your impact:

We are seeking an Accounts Receivable Specialist I to support accurate and timely cash application, account reconciliation, collections, postage accounting, general ledger activity, and client account maintenance. This role handles confidential financial and client information and requires consistent accuracy, sound judgment, discretion, and follow-through.

What You’ll do:

Process and apply check, ACH, wire, and other electronic payments for client invoice and postage accounts.
Identify incoming payments, research unapplied or unclear receipts, and work with clients and internal partners to resolve discrepancies.
Prepare postage summaries, client deposit activity, escrow statements, and supporting cash receipt and disbursement records.
Process approved bank transfers for client deposits and accurately record the related general ledger activity.
Complete weekly cash reconciliations for operating and postage accounts.
Prepare the monthly accounts receivable trial balance and assigned balance sheet reconciliations.
Record daily general ledger batches through approved system uploads and review information for completeness and accuracy.
Prepare AR aging reports, document collection activity, and communicate professionally with clients regarding past-due balances.
Maintain accurate client account information, payment instructions, credit documentation, and supporting records.
Maintain client sales tax certificates and send timely renewal or expiration notices.
Monitor expected receipts and client prepayment schedules to support daily cash projections and accurate account balances.
Partner with Accounting, Billing, and other internal teams to resolve prepayments, account discrepancies, payment-processing issues, and month-end items.
Maintain current client instructions and supporting documentation, follow established procedures and financial controls, and escalate issues or risks in a timely manner.
Identify process gaps or recurring issues and recommend practical improvements that strengthen accuracy, efficiency, documentation, or service.

Required Qualifications
High school diploma or equivalent.
Minimum of three years of accounts receivable, accounting, finance, cash application, or related business experience, or an equivalent combination of education and experience.
Proficiency in Microsoft Excel and Microsoft 365.
Working knowledge of cash application, account reconciliation, collections, general ledger support, and financial recordkeeping.
Ability to handle confidential information with discretion and follow established financial controls and approval requirements.
Preferred Qualifications
Associate degree in accounting, finance, business, or a related field.
Experience with Sage Intacct, OneSource, or similar accounting and operational systems.
