Billing & Payroll Specialist - Maternity Leave Coverage with Opportunity for Permanent Position
We are seeking one or more highly capable, detail-oriented, and personable Billing & Payroll Specialists to join our team. We are looking for someone who can ideally begin in late November, although we are open to an early December start for the right candidate.
The immediate need is to provide coverage during an upcoming maternity leave, expected to run through approximately March. Ideally, we would love to find an exceptional person who can step in during the coverage period and, if it proves to be a strong mutual fit, continue with Kindly in a permanent, full-time capacity afterward. However, we are also open to strong candidates who are specifically seeking a temporary opportunity and can commit to the full maternity leave coverage period.
We may ultimately hire more than one person depending on the strengths and experience of the candidates we meet.
About the Role
Billing and payroll are at the heart of this position. This person will play an important role in ensuring that our billing is accurate and complete, collections are followed through, employees are paid correctly and on time, and discrepancies are caught and resolved quickly.
This role also includes responsibility for supporting a group of our Family Hired caregivers and serving as one of their primary points of contact. While this is not primarily a case management position, it means we need someone who brings more than strong numbers and administrative skills.
We are looking for someone who is sharp, capable, organized, and exceptionally detail-oriented, but also warm, patient, responsive, and genuinely pleasant to deal with. Our caregivers should feel that they have someone competent and kind on the other end of the phone who will understand their question, take ownership, and make sure it gets resolved.
Core Responsibilities
- Manage day-to-day billing processes, ensuring services are billed accurately, completely, and on time.
- Monitor billing activity, identify missing or incorrect information, reconcile discrepancies, and follow outstanding items through resolution.
- Manage collections and accounts receivable follow-up, including tracking outstanding balances and payment activity.
- Support and manage payroll processing, ensuring employee hours, rates, adjustments, and payments are accurate and processed on time.
- Review payroll and billing data for inconsistencies or errors and proactively investigate and resolve issues.
- Maintain accurate financial and administrative records and appropriate audit trails.
- Utilize billing, payroll, and financial software platforms to reconcile information, monitor activity, and generate reports.
- Respond to payroll-related questions from employees and caregivers clearly, accurately, and promptly.
- Serve as a primary point of contact for assigned Family Hired caregivers and provide friendly, responsive day-to-day support.
- Maintain awareness of assigned Family Hired cases and follow up regarding documentation, payroll, scheduling, or other administrative needs.
- Build positive relationships with caregivers and families and ensure questions and concerns are followed through until resolved.
- Collaborate with other departments to resolve billing, payroll, caregiver, and administrative issues and improve internal workflows.
Requirements & Qualifications
- Professional experience with billing and payroll processes is strongly preferred, ideally within healthcare, home care, behavioral health, or another high-volume service environment.
- Exceptional attention to detail and a strong aptitude for working with numbers, reconciliations, and financial information.
- Ability to identify discrepancies, investigate what caused them, and follow through until they are resolved.
- Strong organizational skills and the ability to manage multiple deadlines and priorities in a fast-paced environment.
- Reliable, proactive, and self-directed, with a strong sense of ownership and follow-through.
- Strong proficiency with payroll, billing, and financial software, Microsoft Excel, and general office technology.
- Warm and personable communication style, with the patience and professionalism to work directly with caregivers and families.
- Strong judgment and problem-solving skills.
- Ability to handle sensitive employee, participant, and financial information with discretion and professionalism.
- Strong written and verbal communication skills.
The Person We’re Looking For
You are someone who likes things to balance, notices when something looks off, and does not leave loose ends behind. You are comfortable working with detailed billing and payroll information and can manage a high volume of moving pieces without sacrificing accuracy.
At the same time, you are genuinely nice to deal with. You can patiently answer a caregiver’s question, explain something clearly, and make people feel taken care of while still being efficient and getting your work done.
You are kind and patient without needing to be hand-held yourself. You learn quickly, take ownership, follow through, and can be trusted with responsibilities that directly affect both the company’s finances and our employees’ pay.
Position Structure
Preferred start: Late November
Alternate start: Early December
Initial need: Maternity leave coverage through approximately March
