Workweek: Monday – Friday, 8:30 AM – 4:00 PM

The Department of Health and Human Services is seeking a Licensing Clerk to support the Division of Environmental Health. Under direct management supervision, performs moderately complex, non-routine clerical work involving processing documents across a variety of functions. Performs moderately complex and non-routine clerical work requiring the utilization of keyboarding or typing skills. Formats, reproduces, corrects, adjusts, and prints a variety of written material. Enters and/or types correspondence, documents, reports, charts, and other materials on a computer console or other key entry device used by the agency. Does other related duties as required.
Examples of Duties
Job Duties:
Operates a computer console, typewriter, or other key entry device to key, enter, or type a variety of documents, maintain memory files of them, and provide necessary corrections and adjustments in the prepared text.
Check emails, answer voicemails, phone calls, and mailbox daily.
Process licenses through GovPilot (ensure forms are completed accurately).
Process Pre-operational inspections for food and non-food establishments and dog licenses.
Renewals of food licenses and non-food establishments and dog licenses.
Updates materials and files and maintains records of saved files, including information on subject content and special instructions.
Key enters or types addresses on envelopes, information on forms, form letters, or other form-like documents.
Edits, proofreads, and performs spelling or grammar checks to ensure typographical accuracy.
Selects, sets, and adjusts equipment and software to produce printed text in accordance with predetermined standards or directives.
Sends payment links for online applications.
Verifies all information is accurate for renewals.
Process applications for temporary food vendors, farmer's markets, and mobile vendors.
Follow up on expired food and non-food licenses.
Complete monthly dashboard.
Update appointment schedule.
Provide Customer Service.
Ensure customers understand the requirements to license businesses.
Daily closeouts.
Print out the fee report for your deposit and check it to ensure accuracy before submitting.
Receipts, printed licenses, and closeout reports must be submitted daily.
May assist in training other employees in the operation of equipment and/or software used by the agency.
Provides guidance and assistance to staff.
Receives, screens, reviews, and verifies documents.
Composes replies to routine correspondence.
Reviews and checks assigned reports, applications, and other documents for corrections and completeness; refers problems to a supervisor for resolution.
Organizes assigned work and develops effective work methods to meet deadlines and work criteria.
Performs other duties as assigned.
Qualifications
Preferred Experience:
One (1) year of clerical experience operating an alphanumeric keyboard or typewriter to produce documents such as letters, memos, reports, charts, forms, and other materials.
Required Licenses:
Appointees will be required to possess a driver’s license valid in New Jersey.
