Job description
POSITION SUMMARY:
The incumbent supports daily operations by managing communications, coordinating schedules and meetings, maintaining files, and preparing documents. The role includes handling correspondence, organizing records, assisting with budgeting and procurement, supporting projects, and providing general office support such as ordering supplies.
RESPONSIBILITIES:
The selected candidate will perform analytical functions, which include:
Managing incoming calls, emails, correspondence, and inquiries whilst ensuring timely and professional responses.
Preparing, proofreading, and distributing memos, reports, and other documents.
Maintaining calendars, scheduling meetings, coordinating appointments, and assisting with meeting preparation.
Organizing and maintaining electronic and physical filing systems.
Assisting with project coordination, follow-ups, and documentation.
Providing general office support, including ordering supplies and assisting staff with administrative needs.
EDUCATION AND EXPERIENCE:
Associate Transit Management Analyst:
A master's degree from an accredited college or university in business administration, public administration, public policy, engineering, engineering technology, economics, architecture, mathematics, physics, computer science, finance, accounting, transportation planning, industrial psychology, urban planning/studies, human resources management, labor relations, operations research, security management or in a related area, and one (1) year of full‐time satisfactory professional experience working in budget administration, accounting, economic or financial administration, engineering, in management or methods analysis, operations research, organizational research or program evaluation, personnel or public administration, staff development, employment program planning or administration, security management; or general administration; or
A baccalaureate degree from an accredited college or university; and three years of satisfactory full-time experience as described in "1" above.
DESIRED SKILLS:
Strong organizational, communication, and multitasking skills.
Ability to manage confidential information with discretion.
Proficiency in Office 365 applications (Word, Outlook, Excel, PowerPoint, SharePoint), Power Bi, Visual Basic, SQL and other applications.
Detail-oriented, dependable, and able to work independently and collaboratively.
Prior administrative experience is preferred.
