Portfolio Operations Coordinator
The Portfolio Operations Coordinator is a highly organized, execution-focused role responsible for keeping work moving across a portfolio of roughly a dozen properties at once. This is not a strategic or sophisticated project management role, it is “block and tackle”: getting into the weeds of every open item, following up relentlessly, and making sure nothing stalls without someone noticing.
The Coordinator is a really, really good administrator who wants to be more, someone who stays on top of every small, nitty-gritty detail, but who also carries the standing authority to tell people what needs to happen next and hold them to it. This is not an assistant role taking instructions; it's an enforcement role, asking “what's the status, why hasn't this moved, did this get done, what needs to happen next” until every property is humming along. The Coordinator reports on progress clearly and consistently, and is expected to grow into greater ownership as their judgment and process knowledge develop.

Relentless Follow-Up & Status Ownership
Track every open item across the full property portfolio so nothing quietly falls behind.
• Maintain a single, current source of truth (tracker or log) for every open item, deliverable, and deadline across all properties
• Proactively check status rather than waiting to be asked: “what's the status,” “why hasn't this moved,” “did this get done,” “what's next”
• Flag stalled or at-risk items immediately, before they become someone else's emergency
• Follow up with the same discipline on the tenth property as the first
Process Enforcement & Accountability
Hold people to the process and to their commitments, with real authority to do so.
• Enforce established processes and checklists consistently across every property, rather than letting exceptions slide
• Tell contributors and vendors what needs to happen next, and hold them accountable to it — not simply relay instructions
• Escalate clearly and quickly when someone isn't moving, rather than absorbing the delay quietly
• Notice when a process is being skipped or shortcut and correct course before it compounds
Detail Ownership & Administrative Execution
Own the nitty-gritty work that keeps every property running cleanly.
• Manage the detailed administrative work, documentation, scheduling, data entry, filing, paperwork, that underlies each property's progress
• Catch small errors and gaps before they become bigger problems
• Keep records, trackers, and files organized, accurate, and current
Cross-Portfolio Coordination
Keep roughly a dozen properties moving at once without letting any one property stall the rest.
• Serve as the connective point between the people, teams, and vendors involved in each property's work
• Juggle multiple simultaneous workstreams without losing track of any single one
• Communicate clear, structured status updates to leadership on where each property stands
Growth Toward Greater Ownership
Build toward more independent judgment as experience develops.
• Build process knowledge and pattern-recognition across properties over time
• Surface recurring bottlenecks and suggest process improvements as they emerge
• Take on greater independent decision-making as trust and track record build
