Job description
About the Role
This role sits at the intersection of operations and technology. We're looking for someone to lead AI integration and process automation across the company — and to be the CEO's right hand while doing it. You'll find where AI and automation can replace manual work and build those solutions hands-on, while also doing what a great operator does: fixing broken systems, seeing problems before they hit, and having the standing to tell leadership "we're approaching this wrong — here's a better way." You know the business cold and you use technology as your primary lever, not as a buzzword. Above all, you bring real energy and enthusiasm — you're genuinely excited to build, improve, and take ownership.
BSM Facility Solutions manages property and facility operations across New York, New Jersey, and Florida. As we grow, we need an operator who can turn manual processes, messy data, and tribal knowledge into clean, scalable systems — and who thinks about leverage: how to make the team do better work with less friction, rather than simply adding headcount. You'll start by learning how we actually work today, then improve it. Over time, you'll become the person the CEO trusts to diagnose what's slowing the business down and to build the fix.
What You'll Do
• Lead our AI integration and process automation — identify where AI and automation can remove manual work, then build those solutions hands-on (automation platforms, AI tools, integrations)
• Set the technology vision for operations and manage implementation end to end, bringing in developers or contractors when the work calls for it
• Map and document how our operations work today across properties, staffing, and vendors
• Identify bottlenecks, redundant manual steps, and unreliable data — then eliminate them
• Build and maintain workflows and tools that make the team faster, cleaner, and more accurate
• Turn one-off spreadsheets into repeatable, scalable systems that multiply the team's output
• Anticipate problems before they become fires, and bring proposals — not just complaints — to leadership
• Partner with operations, staffing, and account teams to roll out improvements and train people on them
What We're Looking For
• Real enthusiasm and energy — you're genuinely excited to build, improve, and own outcomes; people feel your drive
• A track record of improving a process or system that no one assigned you to fix
• Evidence of speaking up — respectfully challenging a manager or leader with a better idea, backed by reasoning
• Forward-thinking judgment: examples of seeing a problem coming and acting early
• A "leverage" mindset — you think about what makes the whole company and team work better, not just your own task list
• Hands-on experience building automations and integrating AI tools into real workflows — not just talking about them (automation platforms like Zapier/Make, AI tools, APIs, or similar)
• You can build real, working tools and automations using AI (like ChatGPT or Claude) — no formal engineering background required. You know the problem cold and let AI handle the code.
• The judgment to know where AI and automation genuinely help versus where they're hype — and the ability to lead implementation, whether building it yourself or directing others
• Advanced spreadsheet skills (Excel / Google Sheets — formulas, pivots, clean data structure)
• Familiarity with at least one no-code / automation or database tool (Airtable, Zapier/Make, Notion, or similar), or a proven ability to teach yourself one fast
• Strong attention to detail and a low tolerance for messy data
• A clear communicator who can document a process so others can follow it
Nice to Have
• Experience in property management, facilities, staffing, or field operations
• Experience as an early or #2 operator at a small or growing company
• Basic comfort with light scripting or database concepts (not required)
