Position Overview
This is a unique opportunity for a detail-oriented and proactive Administrative Associate to join AFO as a founding member of our first-ever New York team. You will be integral to launching our new Midtown Manhattan office and shaping its culture and operational success from day one. The position is designed to grow with our office, starting as a part-time role (60%) in the first year with the potential to expand to full-time in year two. As a fully on-site role, you will be at the center of our New York launch, with occasional evening and Sunday hours required for special events.
In this foundational role, the Administrative Associate will establish the operational and logistical backbone for AFO’s new office and local activities. We are looking for a proactive problem-solver with excellent organizational and communication skills who is excited by the challenge of setting up new processes. The Administrative Associate will work in close partnership with AFO’s Director and board leadership to build a thriving New York presence.
Key Responsibilities
Financial and Administrative Operations
Monitor bank entries and maintain accurate transaction records.
Deposit checks and ensure timely processing of donations.
Prepare and send acknowledgment and thank-you letters, as well as donation receipts.
Manage incoming and outgoing mail and general office correspondence.
Assist with the registration of state securities filings.
Assist with preparation of annual tax returns.
Support AFO’s bookkeeping functions (optional, depending on experience).
Communications and Liaison
Serve as a point of contact between the AFO New York office and Ogen’s headquarters in Israel.
Provide administrative and logistical support for fundraising events and donor meetings.
Assist with the coordination of AFO’s social media presence and light digital communications tasks.
Office and Event Logistics
Support day-to-day operational needs of the office.
Support event logistics, including venues, catering, vendor coordination, and guest communications.
Assist with other tasks as needed to ensure efficient office functioning and successful event execution.
Qualifications
Bachelor’s degree or equivalent experience preferred.
2–4 years of relevant administrative or operations experience (nonprofit or philanthropic experience a plus).
Strong organizational skills, attention to detail, and ability to manage multiple priorities.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort with digital tools (CRM systems on Salesforce, social media, etc.).
Ability to work independently and as part of a small, collaborative team.
