Job description

The Executive Assistant provides high-level administrative support to a senior executive by managing calendars, coordinating travel, facilitating communications, and ensuring efficient day-to-day operations. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Calendar Management

Manage complex executive calendars, scheduling meetings, appointments, and events.
Coordinate and prioritize meeting requests to optimize executive time.
Prepare meeting agendas, materials, and supporting documentation.
Monitor schedule changes and proactively resolve conflicts.

Travel Arrangements
Coordinate domestic and international travel, including flights, hotels, transportation, and itineraries.
Manage travel expenses and expense reporting.
Ensure travel plans align with executive preferences and business requirements.
Handle last-minute travel changes and troubleshoot travel-related issues.

Executive Communication
Serve as a primary point of contact for internal and external stakeholders.
Draft, edit, and manage correspondence, presentations, and reports.
Screen and prioritize incoming emails, phone calls, and requests.
Maintain professionalism and confidentiality in all communications.

Executive Support
Support executives with administrative and operational tasks.
Prepare meeting materials, presentations, and briefing documents.
Take meeting notes and track action items as needed.
Manage confidential information with discretion and professionalism.
Assist with special projects and strategic initiatives.

Office and Administrative Coordination
Organize executive meetings, conferences, and events.
Maintain records, files, and business documents.
Coordinate with internal departments and external vendors.
Identify opportunities to improve administrative processes and efficiency.

Qualifications
Bachelor's degree preferred or equivalent professional experience.
3+ years of Executive Assistant, Administrative Assistant, or related experience.
Experience supporting senior leaders or executives.
Strong proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
Excellent written and verbal communication skills.
Exceptional organizational and time-management abilities.
Ability to handle sensitive and confidential information.
Strong problem-solving skills and attention to detail.
