Job description
The Executive Assistant provides high-level administrative support to a senior executive by managing calendars, coordinating travel, facilitating communications, and ensuring efficient day-to-day operations. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Calendar Management
- Manage complex executive calendars, scheduling meetings, appointments, and events.
- Coordinate and prioritize meeting requests to optimize executive time.
- Prepare meeting agendas, materials, and supporting documentation.
- Monitor schedule changes and proactively resolve conflicts.
Travel Arrangements
- Coordinate domestic and international travel, including flights, hotels, transportation, and itineraries.
- Manage travel expenses and expense reporting.
- Ensure travel plans align with executive preferences and business requirements.
- Handle last-minute travel changes and troubleshoot travel-related issues.
Executive Communication
- Serve as a primary point of contact for internal stakeholders.
- Draft, edit, and manage correspondence, presentations, and reports.
- Screen and prioritize incoming emails, phone calls, and requests.
- Maintain professionalism and confidentiality in all communications.
Executive Support
- Support executives with administrative and operational tasks.
- Prepare meeting materials, presentations, and briefing documents.
- Take meeting notes and track action items as needed.
- Manage confidential information with discretion and professionalism.
- Assist with special projects and strategic initiatives.
Office and Administrative Coordination
- Organize executive meetings, booking conferences, and events.
- Maintain records, files, and business documents.
- Coordinate with internal departments and external vendors.
- Identify opportunities to improve administrative processes and efficiency.
Qualifications
- Bachelor's degree preferred or equivalent professional experience.
- 3+ years of Executive Assistant, Administrative Assistant, or related experience.
- Experience supporting senior leaders or executives.
- Strong proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
- Excellent written and verbal communication skills.
- Exceptional organizational and time-management abilities.
- Ability to handle sensitive and confidential information.
- Strong problem-solving skills and attention to detail.
