Metrolinx is connecting communities across the Greater Golden Horseshoe. Metrolinx operates GO Transit and UP Express, as well as the PRESTO fare payment system. We are also building new and improved rapid transit, including GO Expansion, Light Rail Transit routes, and major expansions to Toronto’s subway system, to get people where they need to go, better, faster and easier. Our Legal & Corporate Commercial Services is looking for an Administrative Assistant for the Legal (Operations Commercial) team to provide a wide range of day-to-day administrative and operational support to legal professionals in the Metrolinx in-house legal team.

The successful candidate will join a collaborative legal team that helps to deliver day-to-day transit, and advance some of the region’s most important transit expansion initiatives. What will I be doing?

You will be an important part of the team’s success, helping our legal professionals stay organized, responsive and focused on supporting Metrolinx’s transit mission. Your work will include:
General administrative support for the team which reports into the VP, Legal Services (Operations Commercial).

Help the VP and Directors stay ahead of priorities through proactive calendar, inbox, and document management.

Enable efficient completion of legal deliverables by drafting and formatting documents, data entry, and task tracking on behalf of and in support of lawyers.

Arrange boardroom bookings and teleconferences involving multiple internal and external participants.

Acts as the liaison with property and facility management and IT support, coordinating work order requests.

Assembles correspondence, and meeting materials and packages for distribution to senior management.

Preparation of correspondence or other documents for final signature through the Vice President and Director’s Office.

Works with multiple stakeholders (internal and external) on a variety of tasks.

What Skills and Qualifications Do I Need?
Completion of secondary school, plus additional related courses/training – or a combination of education, training and experience deemed equivalent

Demonstrated years of experience providing administrative support to a busy office environment (no less than four years of experience in an administrative support role). Experience as a legal assistant in a law firm or in-house legal department is an asset.

Independent and flexibility to prioritize workloads and manage multiple tasks against tight deadlines

Experience with computer applications (including theMS Office Suite (Outlook, Word, Excel, PowerPoint, Sharepoint, Visio, and other application software used in an in-house legal department)

Organizational skills and attention to detail to support the Legal Operations team in compliance with corporate administrative policies and processes

Interpersonal, customer service, and excellent oral/written communication skills to respond to or direct enquiries, interact with and provide support to all staff levels, and to generate a variety of correspondence, reports and documents.
