Job description
Summary
The Client Service Associate serves as a key point of contact for clients of FirstSun Advisors dba First Foundation Advisors, delivering high-touch service and operational support as needed across the client’s lifecycle. This role is responsible for working with the team to maintain and enhance client relationships by ensuring the timely execution of account administration, transaction processing, and service requests, while upholding superior client experience.
Primary Responsibilities
Coordinate, schedule, and confirm meetings, conferences, and special events
Carry out general administrative duties to include composing letters/emails, answering telephones, photocopying/faxing, creating spreadsheets, and preparing presentation materials
Responsible for client communication regarding signatures, documentation, online access, and account inquiries
Respond to client requests for information or direct them to the appropriate person
Prepare for client portfolio reviews through portfolio account software (Orion) and direct client communication
Create and maintain client service records
Provide sales support for meetings
Coordinate follow-up with prospects, clients, and referral sources
Maintain an extensive CRM (Practifi) contacts database
Create and maintain pipeline reports and client files
Design announcements and other collateral materials as needed
Mass mailing, i.e., announcement cards & events
Prepare and track expense reports
Assist as needed in the account opening process for new clients, including documentation and asset transfers
Cover the receptionist desk as needed
Prepare overnight delivery labels as needed
Assist in special projects as needed
Perform the job in accordance with applicable industry laws and regulations as well as the policies and procedures established by the company.
Responsible for upholding Fair and Responsible Banking practices and Code of Ethics and Conduct guidelines.
Understand and participate in the Bank’s Community Reinvestment Act program.
Perform other duties as assigned.
Must be bondable.
Education / Experience
High School diploma or equivalent required; Bachelor’s degree preferred
Minimum of 3 to 5 years of related experience required
Background in sales support/marketing and knowledge of financial concepts preferred
PC proficiency in Microsoft Office, Photoshop, and Client relationship management programs (we use CRM).
Highly organized and flexible
Excellent verbal/written communication skills with the ability to effectively communicate with all levels of personnel
Self-motivated, detail-oriented team player
Ability to research using the Internet
