Job description
Overview
We are seeking a friendly and calm individual to be the voice our customers and technicians hear throughout the day, while also managing our bookkeeping in QuickBooks independently. This role encompasses two primary responsibilities: dispatching and bookkeeping.
Responsibilities
- Manage all service call dispatching by assigning and scheduling jobs for our technicians.
- Maintain technician schedules by keeping the shared spreadsheet updated in real-time to ensure visibility of each technician's location.
- Handle full bookkeeping in QuickBooks, including accounts receivable (A/R) and accounts payable (A/P).
- Process payroll efficiently.
- Generate reports detailing job-by-job profitability, cash flow, and provide a weekly report to the COO.
- Immediately flag any urgent issues, not just in the weekly report.
Requirements
- Minimum of 2 years of hands-on experience with QuickBooks Online, including A/R, A/P, reconciliations, and payroll—not limited to data entry.
- At least 2 years in a customer-facing or phone-heavy role (such as dispatch, front desk, call center, or scheduling) where you served as the main point of contact.
- Ability to remain calm and friendly while communicating with upset or confused customers.
- Capability to manage both dispatching and bookkeeping tasks simultaneously without compromising quality.
Nice to Have
- Experience in the HVAC, plumbing, electrical, or other home-service industries.
- QuickBooks certification.
