Job description
JOB SUMMARY:
The Health Information Management (HIM) Supervisor is responsible for the operational oversight, compliance, and supervision of the Health Information Management Department. Serves as the organization's operational lead for Health Information Management, providing oversight of medical record integrity, privacy and confidentiality practices, regulatory compliance, release of information functions, records retention, and departmental policy governance. Oversees daily operations, audits, training, policy development, staff performance, and collaboration with Compliance, Legal, Quality, IT, and Operations.
MAJOR DUTIES AND RESPONSIBILITIES:
Performance Management
• Supervise HIM staff, scheduling, payroll, evaluations, coaching and corrective action.
• Monitor productivity and quality metrics.
• Assist with recruiting, interviewing and onboarding new staff in collaboration with leadership.
Compliance, Policy, and Procedure
• Support the review and maintenance of HIM policies and procedures established by leadership.
• Monitor daily operations for compliance with HIPAA, HITECH, Joint Commission, HRSA and state/federal regulations.
• Assist with survey readiness and follow up on corrective action plans.
• Supervise daily ROI operations and disclosure tracking.
• Coordinate subpoenas, court orders and legal requests with Compliance and Legal.
Analytical and Critical Thinking
• Audit released records, scanning, indexing, chart completion and record integrity.
• Prepare reports and implement process improvements.
Continuing Education
• Provide HIPAA and HIM training and annual competencies.
Communication
• Serve as a liaison between HIM, Compliance, Quality, Legal, Revenue Cycle and Clinical Operations.
SKILLS AND ABILITIES:
• Extensive HIM knowledge
• Strong leadership, communication, auditing, analytical and EHR skills
• Advanced understanding of HIPAA, privacy, confidentiality, medical terminology and records management
EDUCATION AND/OR EXPERIENCE:
Required:
• Associate degree in HIM, Health Administration, Healthcare Operations or related field.
• RHIT credential through AHIMA.
• Minimum five years of HIM experience.
• Minimum two years of supervisory experience.
• Experience with ROI, auditing, document imaging, scanning, indexing and EHR systems.
• Experience developing and monitoring policies and procedures.
Preferred:
• Bachelor's degree.
• CHPS credential.
• Experience leading audits, accreditation reviews and compliance initiatives.
• FQHC or multi-site healthcare experience.
WORKING CONDITIONS/PHYSICAL DEMANDS:
Work is typically performed in an office environment.
