Job Summary

The Legal Operations Specialist II improves how work is delivered across the Legal team by identifying workflow inefficiencies and designing practical solutions using AI, automation, and modern technology. Working at the intersection of legal operations and technology, this role partners with stakeholders to assess existing processes, prioritize improvement opportunities, and independently deliver defined solutions from discovery through implementation.

The role applies professional judgment to improve areas such as intake and triage, contract workflows, reporting, and knowledge access. It is responsible for driving adoption of implemented solutions, developing supporting documentation and training, and monitoring results to ensure improvements deliver sustained operational value. The role operates independently on assigned initiatives while seeking guidance on broader priorities, significant dependencies, and escalations.

Responsibilities

Workflow Analysis and Improvement

Partner with Legal stakeholders to assess workflows, identify root causes of operational inefficiencies, and determine opportunities for simplification, automation, or improved technology enablement.
Translate process observations and business requirements into clearly defined improvement opportunities and solution requirements.
Evaluate opportunities based on expected value, effort, dependencies, risk, and implementation considerations and provide recommendations to support prioritization.
Apply judgment to adapt existing processes and approaches to address varied operational challenges across defined Legal workflows.
Solution Design and Delivery

Independently design, build, test, and implement practical AI and automation solutions for defined Legal business workflows using approved technologies.
Automate repetitive or inefficient processes, including intake, triage, reporting, document-centric workflows, and knowledge access.
Develop prototypes, test solutions with users, interpret feedback, and refine approaches to improve usability, effectiveness, and adoption.
Support system-to-system workflows and integrations with platforms such as Microsoft 365, intake tools, and document repositories using APIs and authentication frameworks.
Own assigned initiatives through implementation, escalating significant risks, dependencies, or decisions that extend beyond defined scope.
AI and Automation

Apply AI and generative AI capabilities to document-centric use cases and operational workflow improvements within the Legal function.
Build or support retrieval-augmented generation solutions, including document ingestion, parsing, semantic chunking, embeddings, and retrieval patterns.
Evaluate available tools and recommend practical use cases based on business requirements, technical feasibility, and approved governance, security, and risk requirements.
Incorporate appropriate human review and controls into solutions where accuracy, auditability, privacy, or defensibility are required.
Monitor implemented solutions and recommended adjustments based on user feedback, performance, and evolving operational requirements.
Adoption and Operational Impact

Develop documentation, usage guidance, and playbooks that enable consistent implementation and sustained use of new tools and workflows.
Train Legal team members on new solutions and provide ongoing support to reinforce effective day-to-day adoption.
Define and track appropriate operational measures, including usage, time savings, error reduction, and other relevant indicators of solution effectiveness.
Use adoption and performance information to identify opportunities for further improvement and recommend adjustments to implemented solutions.
Cross-Functional Collaboration

Work cross-functionally with Legal, Engineering, Technology Risk, and other relevant stakeholders to deliver secure, practical, and scalable solutions.
Translate Legal & Technology Risk business needs into technical requirements and communicate solution design, progress, risks, and outcomes clearly to technical and non-technical stakeholders.
Build productive relationships with stakeholders across functions and advise on workflow and technology considerations within the role’s area of expertise.
Collaborate with relevant control functions to ensure solutions comply with applicable data privacy, regulatory, security, and governance requirements.

Requirements

Demonstrated ability to independently assess business workflows, identify operational problems, and develop practical technology-enabled solutions within defined organizational priorities.
Strong analytical and problem-solving skills, with the ability to evaluate multiple factors, exercise judgment, and adapt established approaches to varied business problems.
Ability to translate between business and technical stakeholders and communicate complex operational or technology concepts clearly and practically.
Demonstrated ability to manage assigned initiatives from discovery through implementation while appropriately escalating broader priorities, dependencies, and risks.
Experience supporting user adoption and behavior change through documentation, training, stakeholder engagement, and follow-through.
Technical & Systems Proficiency

Working proficiency integrating systems through APIs and supporting system-to-system workflows.
Familiarity with relevant business and productivity applications such as Jira, Salesforce, Microsoft 365, GC AI, ChatGPT, Claude, or comparable platforms.
Understanding of appropriate governance, privacy, security, and human-review considerations when implementing AI-enabled business solutions.

AI Skills and Experience

Working knowledge of AI and generative AI technologies and experience building or supporting LLM-powered applications, including retrieval-augmented generation solutions.
Experience problem-solving through implementing existing AI, automation, workflow, or related technology solutions in a business environment and interest in doing so within an in-house Legal department.
Experience

2+ years of relevant professional experience.
Experience translating real-world business problems into practical technical or technology-enabled solutions.
Experience operating in environments where stakeholder adoption and behavior change are required for successful implementation.
Consulting experience is preferred.
Language Skills

Excellent written and verbal communication skills, with the ability to communicate effectively across organizational levels.
Ability to facilitate discussions, influence stakeholders, and translate complex operational and technical concepts into clear, actionable information.

Education/Certifications

Bachelor’s degree preferred and relevant professional experience, or an equivalent combination of education and experience.
