Position Overview
The Operations and Finance Manager will provide critical support to the CEO across internal operations, client services, financial processes, and HR operations for clients. This is a contractor role with flexible hours, ideal for someone who thrives in a behind-the-scenes position that keeps a small but growing firm running smoothly and delivering high-quality service.
This role touches nearly every aspect of Balanced Ops’ work—from managing internal systems and client communications to hands-on financial tasks like bill payment and bookkeeping. You’ll also provide HR administrative support to clients, helping them implement people-focused processes and maintain compliant systems.
Key Responsibilities
Operations & Project Management
Support internal project tracking, timelines, and task coordination
Maintain and optimize internal systems (e.g., project management tools, documentation systems)
Assist with onboarding new clients and collaborators
Implement process improvements to streamline internal operations
Financial Operations
Perform day-to-day bookkeeping using QuickBooks Online
Process and schedule bill payments, reimbursements, and vendor invoices using Ramp and/or other tools
Generate and track client invoices
Maintain internal financial records and templates
Support the CEO in preparing financial snapshots or simple reports
Client Engagement & Support
Coordinate scheduling and communications with clients
Maintain up-to-date client records in project tracking tools
Help prepare materials for client meetings and deliverables
Monitor project timelines and ensure internal follow-through
Client HR Operations Support
Assist clients with onboarding contractors and employees (document collection, system setup)
Maintain HR operations tools and documentation for clients (e.g., Gusto, HR handbooks, policies)
Provide administrative support for time tracking, leave tracking, and compliance processes
Help clients build scalable, equity-informed HR processes and documentation
Qualifications
3+ years of experience in operations, finance, administration, or a related role (nonprofit or small business experience a plus)
Strong organizational skills and the ability to manage multiple priorities independently
Excellent written and verbal communication
High attention to detail and discretion with sensitive information
Self-starter who enjoys building systems and solving problems
Alignment with Balanced Ops’ mission and values
Requirements:
Access to reliable, high speed internet
Computer capable of accessing key software and web tools.
Preferred (but not required)
Experience with the following tools:
Google Workspace
Asana or similar project management tools
Gusto (HR/payroll system)
Ramp (spend management)
QuickBooks Online (bookkeeping)
