Job Summary

We are looking for a highly organized, proactive, and people-focused Office & People Coordinator to support the day-to-day operations of our office while assisting with key Human Resources and recruiting responsibilities. Reporting to the Human Resources Director, this role will serve as a primary onsite point of contact for employees, visitors, candidates, and vendors. The Office & People Coordinator will help ensure the office runs smoothly while supporting recruiting, onboarding, and broader HR initiatives.

What You'll Do:

Office Operations

Support the day-to-day operations of the office and ensure the space remains organized, welcoming, and functional.
Serve as the first point of contact for employees, visitors, candidates, vendors, and deliveries.
Manage incoming and outgoing mail, packages, office supplies, and general workplace needs.
Coordinate with building management, vendors, and service providers as needed.
Coordinate onsite meetings, interviews, leadership meetings, customer or partner visits, and other office gatherings.
Manage meeting logistics including room setup, catering, supplies, and technology needs.
Assist with planning company events, team gatherings, and employee engagement activities.
Support company offsites, including venues, travel, accommodations, meals, meeting spaces, and other logistics.
Provide ad hoc administrative and operational support to the Executive Assistant and Executive Leadership Team (ELT) as needed.
Partner with IT to support laptop and equipment inventory, coordinate employee technology needs, and assist with new hire and replacement equipment logistics.

Human Resources

Own full-cycle recruitment for assigned roles
Partner with hiring managers to draft job descriptions and understand hiring needs.
Support offer, background check, and pre-employment activities.
Coordinate new hire onboarding and first-day logistics.
Assist with employee documentation, HR recordkeeping, and HR system updates.
Support employee lifecycle activities, including onboarding, internal changes, and offboarding.
Assist with employee communications, engagement initiatives, and other HR projects.
Handle employee and company information with a high level of confidentiality and discretion.

What We Need:

1–2 years of experience in coordination, office administration, recruiting, or a similar people-focused role.
Strong organizational skills and attention to detail.
Ability to manage multiple priorities across office and HR responsibilities.
Strong written and verbal communication skills.
Professional and comfortable interacting with employees, candidates, vendors, and leadership.
Proactive, resourceful, and willing to take ownership of day-to-day responsibilities.
Ability to handle confidential information appropriately.
Comfortable working independently while collaborating closely with the Human Resources Director and broader team.
