Job description
Manage day-to-day office operations and administrative responsibilities
Prepare, draft, and send contracts and other client documentation
Communicate professionally with clients, vendors, and business partners
Coordinate and maintain schedules for events and activities
Research and source appropriate vendors for events
Coordinate vendor relationships and ensure the right vendors are secured
Book travel and coordinate logistics as needed
Arrange event-related items including tuxedos, staging, equipment, and other supplies
Order and coordinate materials necessary for events
Collect payments from clients and follow up on outstanding balances
Reconcile bank accounts and assist with financial administration
Maintain accurate records and organized paperwork
Use QuickBooks for financial and administrative functions
Utilize Microsoft Office and Google Workspace for daily operations
Research new products, vendors, services, and solutions as needed
Assist with various projects and administrative needs across the organization
Manage multiple priorities simultaneously while maintaining strong attention to detail
Qualifications:
Previous experience as an Office Manager or in a similar administrative/operations role
Strong organizational and time-management skills
Excellent written and verbal communication skills
Professional and polished when communicating with clients and vendors
Strong attention to detail and ability to follow through
Comfortable managing multiple projects and priorities at the same time
Experience with QuickBooks required
Strong knowledge of Microsoft Office and Google Workspace
Comfortable working with contracts, invoices, payments, and financial records
Resourceful and comfortable conducting research independently
Someone who enjoys learning new systems, processes, and information
Ability to work independently and take ownership of responsibilities
Experience coordinating events, vendors, travel, or logistics is a plus
