Position Overview
We are seeking an extremely organized and detail-oriented Billing Manager to oversee and manage our full revenue and billing cycle.
In this role, you will be responsible for navigating a complex, multi-stage authorization process involving psychologists and BCBAs. You will manage everything from the initial Verification of Benefits (VOB) through final insurance reimbursement. You must be a hands-on leader who can "do the actual work" while multitasking and leading a team (outsourced) to ensure zero revenue leakage.
1. Authorization & Credentialing Management
- Initial VOB: Verify benefits (VOB) for incoming clients, with a heavy emphasis on Medicaid rules and commercial insurance regulations.
- Multi-Stage Authorizations: Track and secure strict sequential authorizations:
- Initial authorization for the psychologist evaluation.
- Post-evaluation authorization for the ABA assessment.
- Authorization for ongoing ABA treatment.
- Reauthorizations: Proactively manage and submit concurrent authorization renewals every few months to ensure continuous care without gaps.
- Provider Credentialing: Oversee and coordinate the credentialing process for BCBAs and psychologists to ensure compliance with insurance panels.
2. Full Billing Cycle & Claim Management

- Timesheet Auditing: Monitor and audit timesheets submitted by the clinical team to ensure accurate data entry and alignment with authorized hours.
- Error Detection: Catch and fix clinical documentation or billing mistakes before submission to prevent insurance rejections and denials.
- Claim Submission & Follow-up: Manage the pipeline from claim submission to final cash receipt (navigating the typical 3-to-4-month insurance payout lag)
3. Reporting & Team Leadership
- Financial Reporting: Compile and send monthly spreadsheets tracking the exact amount billed versus outstanding accounts receivable (A/R).
- Team Leadership: Direct the billing workflow. You have the flexibility to outsource specific administrative tasks, but you remain fully accountable for managing the external vendors and the overall health of the billing cycle.
Qualifications
- Experience: Minimum 3–5 years of experience managing the full billing cycle, specifically within ABA or mental/behavioral health settings.
- Medicaid Expertise: Deep understanding of Medicaid authorization pipelines, behavioral health billing codes (CPT codes), and insurance appeals.
- Master Multitasker: Proven ability to manage a high volume of moving parts (50+ active clients, 180+ evaluations) without letting details slip through the cracks.
- Data Savvy: Advanced proficiency in Excel/Google Sheets for generating clear, actionable A/R and billing reports.
- Leadership Skills: Experience managing a team or overseeing outsourced billing vendors.
