THE ROLE
The Camp Registration & Finance Specialist provides dedicated registration, family account, and financial operations support for multiple URJ camps. This six-month role brings together two equally important areas of responsibility: supporting families through the financial aspects of camper registration and ensuring accurate, timely day-to-day camp financial operations.
The Specialist serves as a responsive resource for families navigating tuition, payments, financial assistance, scholarships, refunds, discounts, and account questions. At the same time, they manage accounts payable and other financial transactions, maintain accurate records and databases, coordinate key communications, and partner with the URJ’s central Finance team to support strong financial practices.
Working across multiple camps requires someone who can build relationships quickly, manage competing priorities, and move comfortably between family conversations, administrative coordination, and detailed financial work. The Specialist will partner closely with Camp Directors, camp staff, and central Finance while serving as a consistent resource across multiple camps.

WHAT YOU WILL DO
SUPPORT REGISTRATION, FAMILY ACCOUNTS & FINANCIAL ENGAGEMENT
• Manage the financial components of camper registration across multiple URJ camps, ensuring family accounts are accurate and up to date.
• Serve as a responsive resource for families regarding tuition, payments, balances, scholarships, discounts, refunds, and other account questions.
• Monitor family accounts, follow up on outstanding or unsuccessful payments, and help resolve account issues with clarity, sensitivity, and good judgment.
• Manage the camp's financial assistance program, including applicant correspondence, documentation, data entry, processing, and approved account adjustments in accordance with established policies and approvals.
• Process refunds, discounts, payments, and account adjustments in accordance with established policies and approvals.
• Partner closely with Camp Directors, and central Finance to support families and ensure smooth registration and payment experience.

MANAGE CAMP FINANCIAL OPERATIONS
• Manage day-to-day accounts payable and vendor administration across multiple camps, including vendor documentation, invoice processing, coding, and payment follow-up.
• Maintain accurate and complete financial records and supporting documentation in CampMinder, Sage Intacct, and other systems.
• Support central Finance with monthly reconciliation processes by researching discrepancies, making approved corrections, and providing necessary documentation.
• Partner with Camp Directors, camp staff, and central Finance to resolve payment, vendor, documentation, and financial questions in a timely manner.

COORDINATE ACROSS MULTIPLE CAMPS
• Manage competing priorities, deadlines, and seasonal needs across multiple camp operations while providing consistent, responsive support.
• Build strong working relationships with Camp Directors, camp staff, and central Finance, communicating proactively to keep work moving.
• Identify recurring issues and opportunities to strengthen registration and financial processes across the camps.

REQUIRED QUALIFICATIONS
• Experience in registration, family or customer accounts, accounts payable, accounts receivable, bookkeeping, financial administration, or a related area.
• Demonstrated ability to provide responsive service while handling financial and other detail-oriented administrative work.
• Experience processing financial transactions and maintaining accurate supporting documentation.
• Strong attention to detail and demonstrated ability to maintain accurate records.
• Ability to work independently, stay organized, manage competing priorities across multiple teams, and follow through on issues through resolution.
• Clear, warm, and professional written and verbal communication skills.
• Comfort learning and working across financial systems, registration databases, contact-management tools, and spreadsheets.
• Sound judgment and ability to handle confidential financial and personal information with discretion.

PREFERRED QUALIFICATIONS
• Experience with CampMinder, Sage Intacct, Concur, or comparable registration and financial systems.
• Experience in a camp, youth-serving organization, school, nonprofit, membership organization, or similar environment.
• Experience supporting multiple programs, locations, or operating units.
• Familiarity with general ledger coding and basic accounting principles.
