Position Summary
The Religious School & Clergy Coordinator is a highly organized, systems-oriented administrative professional responsible for keeping the Temple’s Religious School and clergy operations running smoothly, accurately, and consistently.
This is a position for someone who likes organizing things—someone who sees a complex process and instinctively wants to make it clear, efficient, and easy to manage. The Coordinator will create and maintain the systems, workflows, calendars, records, and tools that allow work to be handled reliably and important details to be tracked and accessible.
The ideal candidate can manage multiple priorities without losing sight of details, work independently while collaborating effectively, take direction while exercising initiative, and carry assignments through to completion. They will bring strong administrative and technological skills together with excellent interpersonal judgment, responsiveness, and discretion.
Core Responsibilities
1. Religious School Administration & Family Support
Coordinate registration, enrollment, attendance, records, calendars, rosters, schedules, forms, communications, and weekly logistics.
Maintain accurate and accessible student and family information in ShulCloud and other systems.
Coordinate teacher schedules, substitutes, classrooms, supplies, and other Sunday and program logistics.
Serve as a primary administrative point of contact for teachers and Religious School families, providing timely, clear, and welcoming communication.
Support clergy and Religious School leadership with programs, worship, holidays, special events, and other activities.
Develop practical procedures, checklists, templates, and other tools for recurring school activities.
2. Clergy, Lifecycle & Program Administration
Provide administrative and organizational support to clergy, including calendars, appointments, meetings, correspondence, preparation, and follow-up.
Coordinate administrative workflows for lifecycle events, including weddings, funerals, baby namings, B’nai Mitzvah, and other clergy-led events.
Track deadlines, contacts, documents, responsibilities, and next steps and ensure information reaches the appropriate people.
Assist with worship, holiday, educational, and clergy programs.
Anticipate upcoming needs and deadlines and prepare accordingly.
Maintain confidentiality and discretion in handling sensitive member, family, and lifecycle information.
3. Systems, Data & Operational Improvement
Maintain accurate, complete, consistent, and well-organized information across ShulCloud and other administrative systems.
Create tracking tools, reports, spreadsheets, or other systems to manage project workflows and data. and workflows.
Develop and document workflows and standard procedures that make recurring work more efficient and reliable.
Look for ways to reduce manual work, errors, bottlenecks, and unnecessary duplication.
Identify problems, determine their underlying causes, and recommend practical solutions aligned with leadership's priorities.
4. Coordination, Communication & Follow-Through
Serve as the organizational hub connecting clergy, Religious School teachers, families, staff, and volunteers.
Manage multiple priorities, deadlines, requests, and dependencies across areas of responsibility.
Clarify next steps and ownership when work involves multiple people or departments.
Take assignments from initial request through completion, including follow-up and confirmation that commitments have been fulfilled.
Exercise sound judgment about what requires immediate attention, what can be handled independently, and what should be brought to clergy or leadership.
Communicate clearly, warmly, and professionally with a wide range of people.
Build trust through reliability, responsiveness, organization, and consistent follow-through.
Qualifications & Experience
Required
Demonstrated experience in a highly organized administrative, operations, program coordination, CRM, or comparable role.
Exceptional organizational skills and ability to manage multiple priorities, deadlines, and stakeholders.
Strong attention to detail and ability to see how individual tasks fit into larger processes and objectives.
Experience managing data, records, databases, CRM systems, or other information systems.
Demonstrated ability to create structure, improve processes, and make systems more efficient.
Strong technological ability and ability to learn new systems.
Experience with Google Workspace or MS Office.
Excellent written, verbal, interpersonal, and customer-service skills.
Sound judgment, discretion, initiative, accountability, and follow-through.
Preferred
Experience in a synagogue, school, nonprofit, membership organization, or other relationship-driven environment.
Experience coordinating complex schedules, events, programs, or lifecycle processes.
Familiarity with reporting or using organizational data to support planning and decision-making.
