Job description

The Retail Operations Administrative Assistant provides excellent customer service by answering customer service inquiries and employee questions in a professional, courteous, and timely manner. The Administrative assists also supports the Retail Operations team by completing all assigned clerical tasks such as posting data for reporting purposes, filing, coding, copying, efaxing, phone calls, and other general office work.

What you'll do:

Handles all Retail Customer Service line phone calls, emails, texts, inquiries. Follows up on all inquiries and open/pending cases; enters customer cases in customer service database (Sales Force); and follows up and closes all cases accordingly. Prepares customer service reports as requested.
Submits all retail signage and supply orders to print shop and follows up on location receipt of items.
Maintains all Business License renewals and e-files.
Generates, tracks, and logs employee reward paperwork and Certificate of Appreciation.
Logs and tracks Gift Certificates.
Records and updates retail directory and District Manager Alignment as needed.
Maintains Goodwill’s SOP Manual.
Picks, reviews and distributes retail division incoming and outgoing mail.
Uploads and maintains documents in shared platforms.
Schedules and hosts department meetings; Drafts agendas, tracks attendance and takes notes.
Prepare necessary information for Director Site visits.
Maintains and orders retail office supplies.
Prepares training manuals and other materials.
This position requires travel (25% within Southern California). A valid CA driver's license and state-required auto insurance necessary. Driving records must be acceptable by company’s insurance vendor.

What you bring:

2-3 years of office clerical experience required.
1-2 years of multi-line customer service phone system experience required.
High school diploma or general education degree (GED) required.
Bachelor’s degree preferred.
Spanish / English bilingual required.
Possesses a valid driver's license and state-required auto insurance.
Shift flexibility and overtime when needed.
Ability to handle confidential information.
Ability to work with minimal supervision
Non-profit experience preferred.
Advanced knowledge of computer programs in a Windows environment, including Word, Excel, Outlook, Google documents, Teams, OneDrive and ability to meet project deadlines.
Other Software: Salesforce, Database, Order processing, Project Management, Presentation software, Zoom
Drug Screen, Background Check, and Live Scan required.
