We are seeking a highly organized and detail-oriented Leasing Operations Coordinator to support the day-to-day leasing operations of a growing multifamily real estate portfolio. This role is responsible for managing the full administrative lease cycle, from application processing and lease execution to renewals, resident records, compliance tracking, and accounts receivable support.

Responsibilities:

  • Prepare, distribute, track, and maintain lease agreements, renewals, and lease-related documentation.
  • Manage the lease renewal pipeline and ensure all renewal notices and deadlines are met.
  • Process rental applications, collect supporting documentation, and coordinate screening reports.
  • Coordinate resident move-ins and move-outs, including scheduling inspections, key transfers, and security deposit documentation.
  • Maintain accurate tenant, lease, and property records within property management software.
  • Update resident ledgers, charges, payments, and account information as needed.
  • Prepare, distribute, and track required compliance notices, disclosures, and regulatory documentation.
  • Monitor delinquent accounts and assist with rent demands, notices, and collection-related documentation.
  • Serve as a primary point of contact for resident inquiries and administrative requests.
  • Coordinate with property management, accounting, legal, and maintenance teams to ensure a seamless resident experience.
  • Maintain organized, audit-ready records and files across the portfolio.
  • Assist with reporting, data entry, and other administrative projects as assigned.

Requirements:

  • Minimum 3 years of residential leasing experience required.
  • Experience in multifamily property management, leasing administration, or real estate operations.
  • Exceptional organizational skills and attention to detail.
  • Strong ability to manage multiple deadlines and priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Professional, customer-service-oriented demeanor.
  • Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
  • Experience with property management software; RentManager experience is a plus.
  • Familiarity with residential leasing compliance, notices, disclosures, and regulatory requirements.
  • Knowledge of NYC multifamily housing regulations, rent stabilization, and leasing practices preferred.
  • Self-motivated, dependable, and able to work effectively in a fast-paced environment.
