Job description
As Membership Sales Coordinator, you will provide vital operational support to our membership sales team. In this client-facing position, you will manage the membership inbox and CRM, help advance leads through the sales pipeline, and coordinate the scheduling of prospect interviews and tours — setting the Membership Director and Membership Sales Manager up for success at every stage of the funnel. You will also serve as a warm, knowledgeable first point of contact for prospective members and guide new members through a seamless onboarding experience.

Essential Functions
Inbox & Lead Management
Manage the membership inbox: respond to all member and prospect inquiries with timely, professional, and personalized communication.
Actively support and advance leads through the membership sales pipeline with timely follow-up, personalization, and strategic engagement.
Identify and capture opportunities from email inquiries, referrals, applications, nominations, and event attendance.
Qualify inbound inquiries and route prospects to the appropriate next step in the sales process.
Scheduling & Sales Support
Coordinate and schedule prospect interviews, calls, and tours for the Membership Director and Membership Sales Manager, ensuring calendars are optimized and prospects are confirmed, prepared, and followed up with.
Prepare prospect briefs ahead of interviews and tours (background, interests, referral source, engagement history).
Conduct overflow tours and introductory calls when the Director and Sales Manager are unavailable, communicating the club's vision, amenities, and offerings.
Prepare event face sheets for membership activations, including guest names, notes, and key introductions; attend membership events to provide support and capture follow-up opportunities for conversion.
CRM Management & Reporting
Maintain accurate, up-to-date lead and member records across CRM systems (e.g., PeopleVine, HubSpot), including daily data clean-up and duplicate merging.
Research and refine member and prospect profiles to support personalized outreach and onboarding.
Handle day-to-day CRM administration: pipeline stages, task workflows, and outreach and conversion tracking.
Build and maintain reports and dashboards in the CRM (pipeline status, conversion metrics, outreach activity) so the Director and Sales Manager have accurate, real-time data for their reporting packages.
Flag system-related issues by opening support tickets and coordinating with vendors as needed.
Member Onboarding & Processing
Process membership applications and payments; track each new member's onboarding progress from acceptance through activation.
Guide new members through onboarding touchpoints, ensuring a thoughtful, seamless welcome experience.
Serve as Membership's coordination point with the building's Finance Manager for membership dues, payments, and refunds.
Help streamline workflows and communications across the membership funnel.
Member Experience & Collaboration
Maintain a consistent presence in the club to support a seamless prospect and member experience.
Uphold our organization's values and a hospitality-first approach across all member and guest touchpoints.
Respond promptly and thoughtfully to member feedback, inquiries, and requests.
Partner with the Membership team and other departments to ensure a cohesive, elevated experience for all who engage with our club.
Qualifications
1-3 years of experience in luxury hospitality, private clubs, membership sales, or a high-touch client-facing role; exposure to a membership or sales pipeline preferred (compensation within the $70,000–$80,000 range based on experience).
Proficiency with CRM systems (HubSpot, PeopleVine, or similar), with strong data hygiene instincts and the ability to build reports and dashboards.
Exceptional written and verbal communication; comfort engaging with VIP clientele in a discreet, service-forward manner.
Highly organized, proactive, and energized by a dynamic, fast-paced environment; able to juggle a high volume of inquiries, scheduling, and follow-ups without letting details slip.
Adaptability and strong in-person availability, including evenings and weekends as needed for events and coverage.
