Job description
Client Experience & Front-of-House Service
Serve as the first point of contact for clients, visitors, recruits, vendors and guests, delivering a professional, polished and welcoming experience.
Create positive first impressions by anticipating visitor needs and ensuring a seamless arrival experience
Notify hosts promptly of visitor arrivals and facilitate smooth transitions throughout the office.
Respond confidently and professionally to unexpected client requests, last-minute changes and time-sensitive situations, exercising sound judgment and resourcefulness to identify solutions.
Build strong working relationships with lawyers, legal assistants and business services teams to ensure a consistently high level of client service.
Exercise discretion and professionalism when handling confidential or sensitive information.
Represent the Firm positively at all times through exceptional service, communication and professional presence.
Reception Operations & Visitor Management
Attend to the day-to-day operation of the reception desk and all visitor-facing processes.
Answer, screen and direct incoming telephone calls professionally, accurately and efficiently.
Welcome and register visitors in accordance with Firm security protocols and visitor management procedures.
Issue temporary access credentials and manage visitor sign-in processes.
Ensure the reception area and adjacent client-facing spaces remain organized, professional and client-ready throughout the day.
Conduct regular reviews of front-of-house areas and promptly coordinate the resolution of issues affecting presentation, cleanliness, safety or functionality.
Communication, Coordination & Technology
Serve as a central communication hub for visitor arrivals, inquiries and reception-related requests.
Coordinate with internal teams to address client, visitor and office service requirements, including urgent and last-minute requests.
Act as a knowledgeable resource for visitors and employees regarding office locations, amenities and building procedures.
Maintain accurate visitor records and reception-related documentation.
Identify opportunities to improve processes, enhance service delivery and leverage technology to create a more seamless visitor experience.
Qualifications:
Experience in reception, hospitality, customer service or other front-facing role, with demonstrated success delivering a high standard of service in a professional environment.
Demonstrated commitment to delivering exceptional client service and creating a positive visitor experience.
Excellent interpersonal, verbal and written communication skills.
Professional presence with confidence and maturity to interact effectively with partners, senior leaders, clients and external stakeholders.
Experience working in a law firm, professional services firm, private club, luxury hotel, or similar high-service environment is strongly preferred.
Strong organizational skills with the ability to manage multiple priorities and adapt to changing demands.
Proven ability to remain calm, professional and solutions-oriented in a fast-paced environment.
Sound judgment and the ability to handle highly confidential information with discretion.
Experience with visitor management systems, digital check-in platforms and other workplace technology tools is an asset.
Self-motivated, accountable and proactive, with a strong sense of ownership for delivering an exceptional front-of-house experience.
Demonstrated ability to manage multiple priorities while maintaining exceptional attention to detail and service standards.
Fluency in English required; bilingualism in French is an asset.
