WHY THIS ROLE MATTERS: The Operations Manager is the operational heartbeat of imadi, ensuring our team has the systems, support, and structure needed to serve families with excellence. This role is about more than keeping things running—it’s about continually building smarter, stronger ways for our organization to operate. While much of the work happens behind the scenes, its impact is felt every day by our staff, volunteers, and the children and families we support. FLEXIBILITY: This is a full-time, 40-hour-per-week position that offers significant flexibility in how and where work is completed. Rather than a traditional 9:00 a.m. to 5:00 p.m. office schedule, this position affords the ability to work remotely for much of the week while remaining fully engaged and responsive. Weekly team meetings and occasional in-person responsibilities require candidates to live in the Maryland/Washington, DC area, but the majority of day-to-day responsibilities can be completed remotely. Our office closes early on Fridays to allow staff time to prepare for Shabbat. RESPONSIBILITIES INCLUDE Build & Strengthen Our Data Systems: (1) Design, develop, and manage systems for client, donor, and volunteer records, ensuring information is organized, accessible, and useful to the team. (2) Build and maintain event registration processes and pages, continually looking for ways to make registration easier for families, volunteers, and staff. (3) Identify opportunities to improve how imadi collects, organizes, and uses data across the organization. Shape Financial & Administrative Operations: (1) Oversee and continually improve systems for bookkeeping, payroll, organizational credit card expenses, and expense tracking through QuickBooks Online. (2) Develop efficient administrative processes that make it easier for staff to manage purchases, expenses, reimbursements, and financial documentation. (3) Serve as the primary administrator for key vendor accounts while evaluating and improving the systems and tools imadi uses to operate. (4) Look for opportunities to streamline workflows, eliminate unnecessary administrative work, and build systems that can grow alongside the organization. Develop & Coordinate Family Support Services: (1) Coordinate family support requests while helping design efficient, responsive systems for connecting families with the services and resources they need. (2) Work collaboratively with the professional team to strengthen how requests are received, tracked, fulfilled, and followed up on. (3) Identify recurring needs and help develop processes that allow imadi to respond to families more effectively and consistently. Ready to make a difference?
