ESSENTIAL DUTIES AND RESPONSIBILITIES:
Executive Office Support
Support the day-to-day operations of the Executive Office while advancing key organizational priorities and initiatives:
Develop executive presentations, briefing materials, reports, talking points, correspondence, and background research to prepare the President & CEO and Chief of Staff for meetings, stakeholder engagements, strategic initiatives, and organizational planning in partnership with the Marketing and Communications team.
Lead the coordination of Executive Team and Senior Leadership meetings, retreats, organizational conferences, and leadership convenings, including scheduling, agenda development, meeting materials, action-item tracking, meeting notes, and follow-up.
Capture and synthesize key highlights, insights, and follow-up from the President & CEO's travel, JCC and JCC Camp visits, and other stakeholder engagements, helping ensure important information and next steps are communicated and acted upon.
Facilitate communication and the flow of information across the Executive Team and departments, driving timely follow-through and alignment on key initiatives.
Cultivate productive relationships with Board members, Executive Team members, colleagues, and key external stakeholders, serving as a trusted, responsive, and professional representative of the Executive Office.
Manage the President & CEO's calendar, travel, scheduling priorities, meeting logistics, and expense reporting, anticipating needs, resolving conflicts, and maximizing the effective use of executive time.
Board & Governance Support
Lead the planning, coordination, and execution of Board of Directors meetings and experiences, as well as meetings of the Executive Committee, Governance Committee, and other board committees, including agendas and meeting materials, presentations, scheduling and logistics, receptions and dinners, board hospitality, and follow-up.
Develop board communications, onboarding materials, and governance resources to ensure board members and staff are informed, prepared, and equipped for effective participation.
Maintain board records, governance documents, leadership directories, and official files, ensuring information is accurate, organized, current, and readily accessible.
Additional Responsibilities
Perform other duties and support special projects as needed to advance Executive Office and organizational priorities.
QUALIFICATION REQUIREMENTS:
Bachelor's degree required.
Four or more years of professional experience in executive operations, senior leadership support, project management, governance, or a comparable role. Experience working with a CEO, Executive Team, or Board of Directors, as well as event planning or coordination experience, is a plus.
Strong organizational and project management skills, with the ability to manage multiple priorities, anticipate needs, exercise sound judgment and discretion, and adapt in a fast-paced environment.
Effective written and verbal communication skills, with experience developing presentations, correspondence, reports, briefing materials, or other professional communications.
Proficiency with Microsoft Office 365 and comfort learning and using new technologies, including AI-enabled tools and CRM platforms.
Collaborative and relationship-oriented, with effective interpersonal skills and the ability to work across teams and with a range of internal and external stakeholders.
