Position Summary: The New York City Public Schools (NYCPS) is the largest school system in the nation with nearly 1 million students, approximately 135,000 employees, including almost 75,000 teachers and an annual budget of $30B. The NYCPS is committed to creating a system of 1,600 great schools. The vast majority of our students who receive special education support and services are taught in the same schools and classes as their peers who do not have disabilities. The Non Public Schools (NPS) Special Education Consultation Unit supports the delivery and administration of special education consultation services for students attending nonpublic schools. The Operations Coordinator assists the Operations Team with the coordination and administration of operational activities that support the efficient functioning of the unit.

The Operations Coordinator, NPS Special Education Consultation Unit performs responsible administrative and program support work involving records management, operational tracking, communications, reporting and project coordination. The Coordinator works collaboratively with Community Coordinators, Education Administrators, Special Education Teachers, Speech Teachers and Operations Team members to support unit priorities and day to day operations. Performs related work.

Key Relationships: Maintains effective working relationships with NPS Special Education Consultation Unit staff, DIAL and SEO personnel, Human Resources, Business Center, vendors, and operational partners to support the efficient execution of unit priorities and activities.

Responsibilities

Maintains staffing, vacancy, and organizational tracking records for the NPS Special Education Consultation Unit.
Assists the Operations Team with collecting, organizing and maintaining information related to staffing, personnel and operational activities.
Supports the preparation and organization of documentation related to staffing requests, onboarding activities and organizational updates.
Maintains shared Operations Team mailboxes and routes inquiries to the appropriate staff members for follow up.
Tracks operational deadlines and assists with monitoring required submissions, approvals and follow up actions.
Prepares recurring reports, spreadsheets, trackers, and summaries to support Operations Team activities.
Maintains databases, spreadsheets and tracking systems used to support operational functions across the unit.
Assists with scheduling meetings and coordinating agendas, meeting materials, attendance records and follow up items.
Supports the maintenance of records related to operational initiatives, projects and unit activities.
Assists with gathering and organizing information needed for reports, presentations and operational updates.
Coordinates communication and information sharing among Community Coordinators, Education Administrators, Special Education Teachers, Speech Teachers and Operations Team members.
Maintains electronic files, records and reference materials in accordance with agency procedures.
Assists with special projects, operational assignments and unit initiatives as directed by the Operations Team.
Supports the review and maintenance of operational procedures, forms, trackers and resource materials.
Assists with identifying opportunities to improve administrative processes and record keeping practices.
Provides administrative and operational support to ensure the efficient functioning of the NPS Special Education Consultation Unit.

Qualification Requirements:

Minimum

A baccalaureate degree from an accredited college and two (2) years of experience in community work or community centered activities in an area related to the duties described above; or
High school graduation or equivalent and six (6) years of experience in community work or community centered activities in an area related to the duties as described above; or
Education and/or experience which is equivalent to “1” or “2” above. However, all candidates must have at least one (1) year of experience as described in “1” above.

In addition to meeting the minimum requirements, individuals must have two additional years of relevant work experience.

Preferred

Experience supporting administrative, operational or programmatic functions.
Strong organizational and record keeping skills.
Excellent interpersonal, written and spoken communication skills.
Proficiency with Microsoft Office 365 Applications.
Ability to manage multiple assignments and meet deadlines.
Ability to work independently and collaboratively as part of a team.
Strong attention to detail and customer service orientation.
Knowledge of NYCPS systems, policies and procedures.
Ability to learn quickly and thrive in a fast paced environment.
