Job description
What you’ll do
Support the Foundation and Community teams with administrative coordination
Manage team calendars and coordinate internal and external meetings across teams, leaders, and community stakeholders
Prepare meeting logistics, including conference room setup, catering orders, materials, call details, and post-meeting breakdown
Assist with planning and executing events that support the Office of Inclusion & Community and the Foundations
Coordinate work-related travel for team members and process related expense reports accurately and on time
Provide phone coverage, support conference call setup, and help ensure communications are handled professionally and efficiently
Partner with Facilities to maintain the Foundation and Community team office building and address facilities concerns as they arise
Manage office inventory, place supply orders, monitor department subscriptions, and help address technology-related requests
Maintain organized records through data entry, tracking, file organization, and administrative support for ongoing team initiatives
Provide vacation coverage for team members, support executives as needed, and contribute to special projects as assigned
What’s required
Minimum 2 years of related administrative experience, nonprofit or executive support experience a plus, and/or significant related internship experience
Bachelor’s or Associates degree from an accredited university
Proficiency with Microsoft Office applications, including Outlook, Excel, PowerPoint, and Word
Ability to self-manage, prioritize assignments across teams and functional areas, and meet multiple deadlines with accountability
Proven problem-solving skills and ability to follow up appropriately on process and procedural issues
Excellent verbal and written communication skills, with tact, professionalism, accuracy, and strong attention to detail
Discretion in handling confidential matters and demonstrated ability to interact with and support senior leaders
Willingness to support Foundation and Community events outside office hours and travel occasionally to New York City for meetings and events
