Job description

The Portfolio Property Manager will be responsible for the day-to-day operations, maintenance, financial performance, and tenant relations across a diverse residential portfolio. The ideal candidate has a strong understanding of building operations, experience managing capital projects and renovations, and the ability to oversee multiple properties while maintaining exceptional service standards.

Regular travel between New York City and White Plains properties is required.

Responsibilities:

Conduct routine and comprehensive property inspections, from basements to rooftops, ensuring buildings are well-maintained, safe, and operating efficiently.
Oversee tenant service requests and complaints, ensuring issues are addressed promptly and resolved to the highest standard.
Manage superintendents, porters, maintenance personnel, and third-party vendors to ensure quality performance and accountability.
Coordinate tenant move-ins and move-outs, ensuring all procedures and documentation are properly completed.
Oversee apartment renovations, unit turnovers, and capital improvement projects, including:
Developing scopes of work
Soliciting and evaluating contractor bids
Ensuring insurance compliance
Tracking budgets and timelines
Delivering projects on schedule and within budget
Coordinate inspections, permits, compliance requirements, certifications, and regulatory filings.
Assist in preparing annual operating and capital budgets and monitor ongoing financial performance.
Review and approve invoices, monitor expenses, and identify opportunities for cost savings and operational efficiencies.
Partner closely with ownership, accounting, leasing, asset management, and onsite teams to ensure seamless portfolio operations.
Maintain strong tenant and vendor relationships through professional communication and responsive service.
Respond to urgent maintenance issues and after-hours emergencies as needed.
Qualifications

Minimum 5 years of residential property management experience.
Proven experience managing a portfolio of multiple residential properties.
Experience with New York City residential properties strongly preferred.
Comfortable traveling regularly between New York City and White Plains, NY.
Strong knowledge of residential building systems, including:
HVAC systems
Boilers
Elevators
Plumbing systems
Fire and life safety systems
Roofs
Pumps
Intercom systems
Experience managing building staff, contractors, and service vendors.
Strong project management, organizational, and problem-solving skills.
Ability to effectively prioritize competing responsibilities in a fast-paced environment.
Excellent written and verbal communication skills.
Self-starter with the ability to work independently while collaborating with ownership and senior leadership.
Proficiency in Microsoft Office and property management software.
Bachelor's degree preferred; equivalent professional experience will be considered.
Own and drive a car is preferred, Valid Drivers license.
