Job description

Key Responsibilities

Organizational Leadership & Administration

Serve as the primary operational leader responsible for the effective functioning of the congregation's administrative systems.
Partner with the Rabbi and Board leadership to implement strategic priorities and organizational goals.
Develop, maintain, and improve operational systems, workflows, policies, and procedures.
Identify opportunities for increased efficiency, sustainability, and improved congregant experience.
Provide regular updates and reports to the Rabbi, Board, and relevant committees.
Support Board governance through meeting preparation, materials, documentation, follow-up, and organizational tracking.
Maintain organizational records, dashboards, timelines, and reporting systems.

Financial Management & Administration

Partner with the Finance Committee, accountants, and Board leadership to support responsible fiscal management.
Assist with annual budgeting, financial planning, reporting, and accountability.
Oversee routine financial administration including:
Expense approvals
Payments and deposits
Financial documentation
Budget tracking
Coordination with accounting partners
Support implementation and improvement of financial systems and processes.
Assist with payroll administration and HR-related financial processes.

Human Resources & Staff Coordination

Support recruitment, onboarding, training, and supervision processes.
Maintain employee records, policies, and required documentation.
Coordinate staff schedules, responsibilities, communication, and workflow.
Provide support and accountability for staff, contractors, and key volunteers.
Partner with the Rabbi in creating a healthy, collaborative, and mission-driven workplace culture.

Congregational Operations & Program Management

Oversee operational planning and logistics for congregational programs, events, services, and special initiatives.
Coordinate calendars, scheduling, registration systems, facilities, vendors, and program resources.
Ensure programs are executed smoothly and consistently.
Support youth and family programming operations, including partnership with educational leadership and increased responsibility during periods without a formal Religious School Director.
Create systems that allow clergy, educators, volunteers, and lay leaders to focus on meaningful engagement.

Facilities, Vendors & Risk Management

Manage relationships with vendors, contractors, and service providers.
Coordinate building operations, maintenance, rentals, and facility needs.
Support security planning and implementation.
Ensure contracts, agreements, and operational requirements are appropriately managed.

Communications, Marketing & Membership Systems

Oversee congregational communications systems, including:
Weekly newsletters
Congregational announcements
Operational emails
Website content coordination
Social media oversight
Promotional materials
Ensure consistent, timely, and mission-aligned communication.
Oversee membership database systems and processes, including:
New member onboarding
Membership records
Congregant inquiries
Engagement tracking
Develop systems to strengthen member connection and retention.

Development & Fundraising Support

Partner with the Rabbi, Board, and Development/Fundraising leadership to strengthen philanthropic sustainability.
Support donor stewardship systems and relationship management.
Assist with fundraising campaigns, acknowledgments, donor tracking, and cultivation efforts.
Support grant research, applications, reporting, and administration.
Help strengthen long-term financial sustainability, including support for endowment growth and investment-related initiatives.

Volunteer & Lay Leadership Engagement

Develop systems for effective volunteer recruitment, communication, training, and appreciation.
Support committee chairs and lay leaders in accomplishing congregational goals.
Build structures that encourage meaningful volunteer participation and leadership development.
Help cultivate a culture where members feel ownership of congregational life.

Partnership with Rabbi and Board

The Director of Operations / Executive Director will work in close partnership with the Rabbi, who serves as the congregation's spiritual leader and provides rabbinic vision, teaching, pastoral care, worship leadership, lifecycle leadership, and community engagement.

The Director of Operations / Executive Director will:

Ensure the operational infrastructure needed to support the congregation's mission.
Manage implementation of organizational priorities.
Allow the Rabbi to focus increased attention on rabbinic leadership, pastoral care, Jewish learning, worship, community relationships, and spiritual growth.
Serve as a trusted thought partner in organizational planning and decision-making.

Desired Qualifications

Significant experience in nonprofit, synagogue, community, or mission-driven organizational leadership.
Strong operational management and project management skills.
Experience with budgeting, financial systems, and administrative processes.
Excellent written and verbal communication skills.
Ability to manage multiple priorities while maintaining attention to detail.
Experience supervising staff, contractors, or volunteers.
Comfort working collaboratively with clergy, boards, committees, and community stakeholders.
Commitment to Jewish communal life and the mission of Congregation Har Mishpacha.
Ability to balance strategic thinking with hands-on execution.

Position Structure

Reports to: Board of Directors
Works closely with: Rabbi, Accountants, Executive Assistant, Finance Committee, Committee Chairs, Volunteers, and Congregational partners
Classification: Full-time senior leadership position
Working hours will vary and will include some nights and weekend
