As an Executive Assistant to the Regional Director in South Florida, you will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output. Your daily routine also includes interaction with various executive level internal clients across the lines of businesses. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals.

Job responsibilities

Screen incoming calls, prioritize appropriately, and use discretion with sensitive information

Coordinate logistics for internal and external meetings

Arrange complex domestic and international travel

Plan and execute internal/external events, including catering and transportation

Process invoices and T&E expense claims in compliance with policies and guidelines

Support staff onboarding/offboarding, including equipment requests and system access coordination

Draft high-quality emails and communications for all levels of the organization

Maintain department documentation (e.g., org charts, executive bios)

Proactively manage routine activities, anticipating needs and flagging issues/delays in advance

Support client materials and operational excellence: edit spreadsheets/presentations, print/bind as needed, and develop/standardize/improve regional admin processes, templates, and best practices; coordinate regional deliverables and milestones; train/coach Market Director admin staff

Maintain complex, detailed calendars

Required qualifications, capabilities, and skills

At least five years of administrative experience
Advanced organizational skills
Discretion and good judgment in confidential situations, and proven experience interacting with senior management
Strong interpersonal, written, and oral communication skills
Strong proficiency in Microsoft Office
Excellent telephone etiquette and ability to manage competing priorities i.e. calendar management
Experience with process improvement/standardization and training or mentoring other administrative professionals

Preferred qualifications, capabilities, and skills

Experience supporting at the Managing Director level (or equivalent) or above
College degree is a plus
