About the Job
Olami Manhattan, the leading hub for Jewish young professionals in the Village, is hiring a full-time Events & Operations Coordinator to join our vibrant team. This position offers a unique opportunity to support both the COO and Events Director while managing the operations of our dynamic space and helping plan engaging weekly and special events.
About the Role
The Events & Operations Coordinator will report directly to the Events Director and COO, splitting their focus between operational support for the COO and event planning responsibilities under the Events Director. We're looking for a proactive, resourceful professional with 1–3 years of experience in operations, logistics, or event planning who thrives on taking initiative and producing meaningful programs, with strong organizational skills.
Responsibilities
COO Support:
Schedule calls and plan meetings, ensuring seamless coordination
Serve as the primary point of contact for internal and external communications (including answering phones and greeting all visitors/vendors)
Handle requests and queries, draft documents, and route correspondence
Support space maintenance by working with vendors and service providers
Assist the COO with special projects
Update weekly event data in our database for all events
Events Director Support:
Organize and execute weekly events and programs, ensuring smooth execution
Assist with catering needs and other logistics for our unique events
Speak with vendors and source supplies (caterers, décor resources, AV specialists) to ensure high-quality programs and timely deliverables within budget
Work under tight deadlines, balancing multiple events and priorities simultaneously while maintaining precision and composure
Oversee facilities teams and part-time staff during events, delegating tasks effectively, managing spaces efficiently, and addressing issues in real time
Maintain a tight inventory of the office space and event supply closets, keeping spaces neat and organized
Major Events & Special Programs:
Support end-to-end production of the annual Gala, The Annex, Business Network events, and emerging program initiatives
Support the execution of monthly community Shabbat hosting
Requirements
1–3 years of experience in operations, logistics, or event planning
Ability to work flexible hours, including evenings 1–2 nights a week to accommodate events
Strong organizational and multitasking skills, with excellent problem-solving abilities
Outstanding interpersonal and communication skills to collaborate effectively with team members and external contacts
Proactive and resourceful, with keen attention to detail and the ability to take initiative
Ability to travel to different spaces throughout NYC
