Position Overview

The Operations & Administration Manager is a central, trusted member of the CBB leadership team, serving as the operational backbone of the organization and a key partner to the Executive Director. This role oversees the synagogue's day-to-day administrative operations, organizational systems, facilities coordination, and administrative support functions, ensuring that CBB operates with excellence, warmth, and efficiency.

Blending hands-on office management with high-level administrative support, this individual serves as a “right hand” to the Executive Director—managing priorities, coordinating workflows, and helping translate organizational goals into effective execution.

This role is ideal for someone who is highly organized, detail-oriented, and proactive, with a strong ability to manage multiple responsibilities while maintaining a warm, service-oriented presence within the community.

Key Responsibilities

Daily Operations & Administration

Oversee day-to-day office operations to ensure a smooth, organized, and welcoming environment
Maintain office systems, supplies, and vendor relationships
Develop and improve administrative processes, workflows, and systems
Coordinate across departments to support smooth execution of programs and services
Support internal communication and organizational coordination

Systems, Facilities & Program Support

Maintain and support organizational systems especially the membership CRM/database (e.g., ShulCloud)
Coordinate campus scheduling and space usage to support programs and events
Partner with clergy and program staff to ensure logistical needs are met
Help ensure systems are user-friendly, organized, and effectively utilized. Take the lead on training the staff on using the systems effectively.
Support planning and logistics for programs, events, and key initiatives

Human Resources & Organizational Support

Coordinate HR administrative functions such as onboarding, documentation, and compliance tracking
Maintain personnel files and support adherence to employment policies
Assist with recruitment logistics and job posting coordination
Support efforts to foster a positive, collaborative, and mission-aligned workplace culture

Financial & Administrative Coordination

In close partnership with bookkeeper and Executive Director

Support budgeting, financial tracking, and reporting processes
Ensure financial systems have a check and balance system to meet financial best practices.
Assist with invoice processing, expense tracking, and financial documentation
Ensure administrative processes align with organizational policies and procedures

Qualifications

Experience, skills and abilities

3–5+ years of experience in office management, administrative coordination, or executive support
Bachelor’s degree or equivalent professional experience
Strong comfort with technology and office systems
Experience in a nonprofit or community-based organization preferred
Familiarity with Jewish culture or synagogue life is a plus
Exceptional organizational and time-management skills
Strong administrative and operational acumen
Excellent written and verbal communication skills
High level of discretion and ability to manage confidential information
Detail-oriented with the ability to manage multiple priorities
Strong problem-solving skills and a proactive mindset
Warm, professional presence and commitment to community service
