Job description
Position Summary:
The Supervisor, Data Entry leads accurate, timely, and compliant data entry operations that directly protect patient service, production flow, revenue integrity, and regulatory readiness across Empower. This role owns daily workload execution, team performance, quality controls, escalation management, and continuous improvement within a hyper-growth, highly regulated 503A/503B environment. The supervisor uses AI as a force multiplier to increase speed, scale capacity, strengthen quality, identify risk, and improve operational decision-making while maintaining appropriate human oversight and data governance. Success requires P80-P90 talent with strategic thinking, disciplined execution rigor, learning agility, and the judgment to translate changing priorities into reliable frontline performance. The role develops high-accountability teams, partners cross-functionally, and continuously raises standards for accuracy, productivity, compliance, and customer outcomes as Empower expands operations and complexity without compromising patient safety or trust.
Responsibilities:
Workflow Leadership
Daily Execution: Direct daily data entry operations by assigning work, balancing queues, monitoring throughput, and removing constraints that could affect patient service or production timelines. Use AI-enabled workflow insights to anticipate volume shifts, prioritize high-risk items, and improve staffing decisions. Maintain clear ownership for completion, accuracy, and escalation while ensuring procedures remain aligned with Empower standards, regulated 503A/503B requirements, and rapidly changing business priorities across assigned operations each business day consistently effectively.
Capacity Planning: Translate demand forecasts, backlog trends, service expectations, and staffing availability into practical daily and weekly capacity plans. Apply AI-supported analysis to identify emerging bottlenecks, estimate workload requirements, and recommend adjustments before performance declines. Coordinate schedules, cross-training, and task allocation to maximize productive capacity while preserving quality. Escalate material risks early, communicate tradeoffs clearly, and maintain disciplined follow-through as volumes, priorities, and operational complexity continue to scale across Empower operations effectively.
Performance Rhythm: Establish a consistent operating rhythm using daily huddles, visible metrics, workload reviews, and structured follow-up to keep the team aligned on priorities and commitments. Leverage AI-generated summaries and trend detection to accelerate issue identification, coaching preparation, and decision-making. Convert performance signals into specific actions, owners, and deadlines. Reinforce accountability through timely feedback and documentation, ensuring execution remains predictable, transparent, and responsive in a fast-moving regulated environment at operational scale effectively.
Quality and Compliance
Accuracy Controls: Own frontline controls that protect data accuracy, completeness, traceability, and downstream usability across assigned workflows. Review error patterns, exception queues, and audit findings, using AI-assisted analysis to detect recurring defects and prioritize corrective action. Ensure employees follow approved procedures, verification requirements, privacy expectations, and documentation standards. Partner with quality and operational stakeholders to close gaps quickly, strengthen preventive controls, and sustain reliable performance without compromising throughput, compliance, or patient safety.
Compliance Discipline: Translate applicable policies, procedures, and regulatory expectations into clear daily behaviors for the data entry team. Monitor adherence, address deviations promptly, and escalate potential compliance concerns through established channels. Use AI tools responsibly to support review, pattern recognition, and documentation while preserving human judgment, confidentiality, validation, and approved governance. Maintain inspection-ready records and reinforce a culture where speed never overrides accuracy, procedural discipline, data integrity, or patient protection at Empower.
Risk Prevention: Identify operational risks before they become service, quality, compliance, or production failures by reviewing trends, exceptions, aging work, and recurring handoff issues. Apply AI-enabled signals to surface anomalies and focus human review on higher-risk transactions. Lead immediate containment and root-cause follow-up within supervisory scope, coordinating corrective actions with partners. Track effectiveness, communicate unresolved exposure, and ensure lessons learned are incorporated into training, workflows, and control practices for sustained future prevention.
Team Leadership
Talent Development: Build a high-performing data entry team through structured onboarding, role clarity, regular coaching, and measurable development plans. Set a P80-P90 performance bar that values learning agility, ownership, judgment, and disciplined execution alongside productivity. Use AI-supported performance insights to prepare targeted coaching while validating context personally. Change Adoption: Lead frontline adoption of new processes, technologies, policies, and operating requirements by translating change into practical instructions, training, and measurable expectations. Use AI tools to accelerate knowledge synthesis, identify likely adoption gaps, and tailor reinforcement while verifying accuracy against approved sources. Gather employee feedback, surface implementation risks, and coordinate resolutions with stakeholders. Maintain momentum through visible follow-up, helping the team learn quickly and execute confidently as Empower scales and evolves.
Operational Improvement
Process Improvement: Continuously improve data entry workflows by analyzing cycle time, rework, handoffs, error sources, and unnecessary manual effort. Use AI-assisted process analysis to identify patterns, generate improvement hypotheses, and prioritize opportunities with the strongest operational value. Test changes within approved controls, measure results, and standardize proven practices. Engage frontline employees in problem solving and ensure improvements increase speed, quality, scalability, and consistency without weakening compliance, traceability, or required human oversight requirements.
Crossfunctional Coordination: Coordinate closely with pharmacy operations, quality, technology, customer-facing teams, and other partners to resolve data issues, clarify priorities, and protect downstream execution. Provide concise status updates, evidence-based recommendations, and timely escalations when dependencies threaten service or compliance. Use AI-generated synthesis to organize complex inputs and accelerate preparation, while validating conclusions before action. Build dependable working relationships that reduce handoff friction, improve shared decisions, and strengthen end-to-end operational performance across Empower.
Technology Enablement: Champion effective use of approved systems, automation, and AI capabilities that improve data entry speed, scale, quality, and decision support. Identify practical use cases, document requirements, participate in testing, and provide frontline feedback to technology partners. Ensure employees use tools within established security, privacy, validation, and governance requirements. Track adoption and outcomes, address usability barriers, and reinforce human accountability for final decisions, exceptions, and regulated work products at all times.
Knowledge and Skills:
Strong knowledge of high-volume data entry operations, workflow management, quality controls, performance metrics, and process improvement methods within environments requiring accuracy, confidentiality, traceability, and disciplined execution.
Demonstrated ability to use AI, automation, dashboards, and analytical tools to improve productivity, identify trends, prioritize risk, strengthen quality, and support faster, evidence-based operational decisions.
Strong people leadership capabilities, including workload coordination, performance coaching, training, accountability management, change adoption, conflict resolution, and development of teams operating against demanding service and quality expectations.
Effective analytical, communication, and cross-functional collaboration skills, with the judgment to manage competing priorities, escalate material issues, interpret operational data, and translate complex requirements into clear frontline actions.
Experience and Qualifications:
High school diploma or equivalent required; associate or bachelor's degree in business, operations, healthcare administration, information management, or a related discipline preferred.
Three or more years of experience in data entry, transaction processing, administrative operations, order management, or another high-volume, accuracy-critical operational environment.
One or more years of demonstrated team lead, supervisory, or equivalent people leadership experience, including responsibility for workflow allocation, coaching, quality, productivity, and performance accountability.
Experience working with enterprise systems, workflow platforms, productivity dashboards, automation, or AI-enabled tools, with demonstrated ability to learn new technologies rapidly and apply them responsibly.
Proven record of improving operational performance through structured problem solving, data analysis, process standardization, employee development, and disciplined execution in a fast-paced, scaling organization.
Experience in pharmaceutical, healthcare, life sciences, manufacturing, fulfillment, or another highly regulated environment is preferred but not required; demonstrated success in quality-sensitive operations is valued.
