About the Role
We're seeking a highly organized Operations Associate to support project management of our growing portfolio of travel advisor educational experiences. This role is essential to our program operations, handling high-volume administrative tasks, tracking performance across the programs, and collecting event feedback to make further improvements.
We're looking for a detail-oriented, self-starting Operations Assistant to support our team's day-to-day operations, reporting, and program tracking. You'll be the person who keeps our data organized, our dashboards accurate, and our workflows running smoothly — while also spotting opportunities to make things better. This role is a strong fit for someone early in their career who wants to see how a startup actually works from the inside — with room to grow into operations, analytics, or program management.
About Our Familiarization (Fam) Program
Our Fam & Retreat programs connect travel advisors with immersive destination experiences, partner properties, and industry education opportunities. We manage 60+ programs annually, ranging from destination-specific trips to property showcases and industry events. This role is critical to ensuring smooth operations as we scale to serve our growing advisor community and for tracking the success of these programs, both for our advisors and our partners.
Key Responsibilities
Own our reporting: build and maintain Omni dashboards, pull and clean data from multiple sources, and run recurring reporting cadences (weekly/monthly/quarterly) with minimal oversight
Keep our systems of record current — workflows and databases in Airtable, tasks and projects in Jira — including all Fam & Retreat programming and advisor tracking, so every department has visibility
Turn data into decisions: identify trends, flag risks and opportunities, and support planning and forecasting
Partner with cross-functional teams to spot inefficiencies and improve existing programs and processes
Document processes and workflows so institutional knowledge doesn't live in one person's head
Take on ad hoc projects as the company's needs evolve
Requirements
1–2 years of work experience preferably in operations, business analytics, program coordination, or a related role
Strong Excel/Google Sheets skills; comfortable manipulating and cleaning datasets
Excellent attention to detail — you catch the errors others miss
Self-directed: you figure out what matters, prioritize it, and run with it
Strong "manage up" instincts — you keep your manager informed, flag blockers early, and don't wait to be asked
A problem-solver who enjoys figuring out the "why" behind the numbers, not just reporting them
Comfortable with ambiguity and shifting priorities in a fast-paced startup environment
Excellent written and verbal communication skills
Strongly Preferred
Experience with SQL or other data query languages
Exposure to process improvement or operations frameworks
Experience with automation tools (Zapier, Airtable, or similar platforms)
Understanding of travel advisor business models
Hands-on experience with Omni (or a similar BI/dashboarding tool such as Looker, Tableau, or Mode)
Working knowledge of Airtable for database/workflow management
Familiarity with Jira for task and project tracking
