Job description

CRM Admin / Technician (HubSpot) Sales Operations | Short-Term Contract | Hybrid — Jerusalem

About the Role

The sales team has outgrown the tools supporting it. What's in place today has never functioned as a proper CRM, and the resulting data doesn't reflect how the team actually sells. We're implementing HubSpot to fix that, and we need a hands-on CRM Admin to lead the build, defining qualification criteria, deal stages, and revenue tracking from scratch, bringing over what's usable from the legacy system, and delivering workflows and reporting the team can rely on without double-checking. You'll work closely with the VP of Sales to make sure the platform reflects how the business actually operates, not a generic template.

What You'll Do

  • Define qualification criteria, deal stages, and revenue tracking in HubSpot based on how the team actually sells, not an out-of-the-box template
  • Migrate what's usable from the legacy system, deduping, standardizing, and completing contact, deal, and company records to an agreed data-quality bar
  • Build workflows, automations, and custom properties from the ground up, and validate each one in live scenarios, not just a sandbox
  • Own the migration end to end, reconciling results against the source records to confirm nothing is lost or duplicated
  • Test and QA every build before launch, with a rollback plan in place in case something breaks
  • Provide proactive updates, daily check-ins, or async summaries with the VP of Sales

What Success Looks Like

  • A working, accurate HubSpot instance with clean records, automations that run as intended, and reporting the team doesn't need to verify by hand
  • A platform built around the sales process as it actually runs, not a generic template
  • Steady, visible progress against the agreed scope
  • Migrated records meeting the agreed data-quality bar, reconciled against the source system
  • Fewer complaints and broken-report tickets over time, not more, as the build matures

What We're Looking For

  • Hands-on HubSpot admin experience with workflows, automations, custom properties, and reporting/dashboards. Certification is a plus, not a substitute for production experience
  • Ability to learn an unfamiliar sales process quickly and translate it into a working CRM structure, rather than defaulting to generic best practice
  • A disciplined approach to testing, with a clear rollback plan before any change goes live
  • Comfort turning messy, informal records into a clean, reliable system — this is a genuine build and migration, not a like-for-like lift
  • Clear, proactive communication without needing to be chased for updates

Engagement Details

  • Format: Short-term contract, roughly 30–60 days, or about 40 hours/week for 4–8 weeks. Initial setup typically wraps within the first 30 days, with refinements in month two on a part-time basis
  • Location: Jerusalem preferred, with at least one day (about 25%) in the office each week. Candidates elsewhere in Israel will be considered if willing to commute; remote arrangements otherwise require daily calls
