SUMMARY DESCRIPTION OF POSITION:
Reporting to the VP: Community Relations, while also working closely with VP of Education and Advocacy, this position serves as Program Assistant for the community engagement’s range of programming, providing administrative and program support primarily for civic engagement programs, community service, civic partnerships and leadership programs.
PRINCIPAL DUTIES:
• Provide support to program staff in all aspects of program operation.
• Manage relevant Federation databases related to Community Engagement constituents.
• Work with program staff to manage and coordinate event details for both in-person and virtual programs.
• Responsible for maintaining Community Engagement files, supplies, and materials.
• Develop and maintain various office, department and recordkeeping procedures.
• Provide assistance with event execution including working with vendors, tracking event budgets, invoices, supplies, and program materials to ensure smooth operations and responsible stewardship of resources.
• Coordinate event follow-up by tracking attendance, collecting photos and content, gathering feedback, and maintaining accurate program records.
• Assist Program staff in program communications including creating written program materials, social media, email marketing and web copy.
• Able to effectively work in team environment and follow company protocols for accounting and office procedures.
ADDITIONAL DUTIES:
Be available to supervisor for additional assignments, as required, including assisting with the Campaign. Be available to support Community Service programs by coordinating volunteers and outreach, as needed. May be expected to work 1-2 evenings per month.
EDUCATION & EXPERIENCE REQUIRED FOR POSITION:
• BA or equivalent preferred. 2-3 years of responsible program related experience.
• Must have excellent interpersonal and communications skills, both verbal and written.
• Be detail oriented, proficient in Microsoft Word, Excel, Outlook, Publisher, e-mail marketing software, Facebook, Instagram, and database programs.
• Must have demonstrated experience effectively working independently in a very busy fast paced environment.
• Exceptional organizational skills, strong follow-through, and meticulous attention to detail.
• Ability to manage multiple projects and competing priorities simultaneously.
• Experience with event planning, operations, project coordination, or community engagement is a plus.
• Knowledge of Judaism, the diverse Los Angeles Jewish Community and local civic issues is preferred.
• A hybrid work model will be implemented for certain positions. This position must report to worksite on non-remote workdays, as determined by the Federation.
