Job description
Responsibilities:
• Oversee complex calendars for two C-suite leaders, ensuring meetings, priorities, and scheduling changes are managed smoothly.
• Coordinate business travel arrangements, including itineraries, bookings, and related logistics to support efficient executive travel.
• Prepare, review, and submit expense reports accurately and on time using designated expense management tools.
• Provide day-to-day administrative support by organizing documents, handling correspondence, and maintaining executive materials.
• Facilitate meeting logistics through virtual platforms and internal systems, ensuring sessions run efficiently and participants are well supported.
• Maintain accurate records and assist with information tracking across administrative and customer relationship management systems.
• Support time-related administrative processes and related coordination tasks using internal workforce tools where required.
• Scan, copy, and organize business documents to ensure information is accessible, current, and professionally maintained.
Requirements
• Proven experience providing direct support to senior leaders, ideally at the C-suite level.
• Strong background in calendar coordination, travel planning, and executive expense administration.
• Proficiency with tools such as Concur, Cisco Webex Meetings, CRM platforms, and Microsoft Office applications.
• Familiarity with administrative or operational systems such as ADP and Kronos is considered an asset.
• Excellent organizational skills with the ability to manage multiple priorities and deadlines with accuracy.
• Strong written and verbal communication skills, along with a high level of discretion and professionalism.
• Confidence handling general office support tasks, including document preparation, photocopying, and scanning.
